Summary

  • The Human Resources Coordinator is responsible for providing clerical support to the Human Resources (HR) Department, coordination and completion of initial orientation training for all new employees and for coordination and tracking of ongoing training for all employees, and developing effective tracking mechanisms to enhance quality of life for individuals in service in a person-centered environment. This position will also be in charge of implementation of the volunteer program, internal investigations, and government relations work. This position is responsible for providing routine support to the HR Department and other agency departments.

Essential Duties

  • Maintain and update employee personnel files (paper and electronic) by scanning and filing paperwork on a daily basis, while maintaining confidentiality
  • Assist HR Director in the organization, preparation and execution of employee recruitment, including various hiring events such as open interviews, job fairs, etc.
  • Perform various clerical duties that include but are not limited to the following: processing payroll; filing; typing memos; writing reports and correspondence; answering telephones; photocopying; faxing; relaying messages to the HR Director; providing backup to the Receptionist, as needed; operating and maintaining various office equipment and computer systems, etc.
  • Organize, facilitate, and track employee training throughout the year to meet various departmental needs and schedules and ensure that staff is receiving quality information and skills to perform their job duties adequately.
  • Maintain instructor certifications for First Aid, Cardiopulmonary Resuscitation (CPR), crisis prevention, drug & alcohol testing, and other courses, as needed, and complete a minimum of one outside training each year.
  • Establish and oversee an outcome-based quality monitoring system for all levels of staff within Inspiration Field and share findings with appropriate levels of management.
  • Pass the Medication Administration test with no more than two attempts and administer medication to individuals according to physician orders and using appropriate administration techniques as outlined in the Medication Administration course.
  • Must be able to perform Lifting and Transferring techniques as trained and pass performance testing. The employee may occasionally lift and/or push and pull up to 50 lbs. Lifting may require floor to waist, waist to shoulder, or shoulder to overhead movement.
  • Driving of agency vehicles as necessary for transportation of individuals and agency business as assigned.
  • Must, with or without reasonable accommodation, regularly sit, walk, and stand, and sit at a computer for long periods of time and repeat the same hand, arm, or finger motion many times (typing, data entry).
  • Communicate through speech with individuals in service and public.
  • Operate a personal computer and related software.
  • Tolerate various levels of stress and meet deadlines with severe time constraints.
  • Demonstrate vision abilities which includes close, distance, and depth perception and ability to read handwritten or typed material, and the ability to adjust focus.
  • Work and concentrate in both noisy and quiet environments.
  • Squat, stoop, kneel, and reach above the head. Forward motion will occasionally be required.
  • Work inside the building a majority of the time.

Additional Duties And Responsibilities

  • Audit new and existing employee files to ensure completeness and compliance with various rules and regulations and agency procedures. Utilizing a spreadsheet, share findings with HR Director on a monthly basis.
  • Ensure that an open positions listing is distributed to all staff and Colorado Workforce Center on a weekly basis.
  • Maintain an effective and formal Volunteer program/process by working with local organizations and other civic/school groups, etc. to ensure agency needs are met.
  • Provide government relations work by working with federal, state, and local governments, and Alliance Colorado to make recommendations relative to Inspiration Field.
  • Complete annual employee background checks and submit results to HR Director.
  • Perform online e-verification of new employee I-9 forms.
  • Prepare employee personnel files, acknowledgements. And packets for use in new hire orientation.
  • Maintain confidentiality of all information contained in reports, employee files, and communication pertaining to employee files.
  • Assist HR Director in the creation of workflows for current HR forms processing.
  • Audit new employee files in the month leading up to the completion of new employees\' Introductory Period and report findings to HR Director.
  • Coordinate and maintain agency online training program both internally and externally.
  • Work flexible hours to meet training needs, including days, evenings, nights, weekends, holidays, etc., as needed.
  • Serve as a backup to the agency\'s receptionist as needed, empty mail pouches, sort mail, answer phones, greet people, etc.
  • Audit for compliance with State rules and regulations, provide feedback and evaluate effectiveness.
  • Provide support to other agency departments, as needed.
  • Establish a good line of communication with all individuals involved with the individuals, including but not limited to staff, parents/guardians/providers, case managers, and health services, etc.
  • Maintain strict confidentiality of information contained regarding individuals and staff.
  • Participate in staff training activities and staff meetings, as outlined in the agency\'s staff development curriculum.
  • Due to the nature of this position, staff attendance and promptness is essential.
  • Follow agency procedures when purchasing items on behalf of the agency.
  • Follow agency policies and procedures in carrying out duties.
  • Safeguard all agency funds and property.
  • Find opportunities to engage with various teams or agency events and fundraisers.
  • Advise the supervisor of issues or concerns within the agency.
  • Performs other duties as assigned by supervisory staff.

Supervisory Responsibilities

The Human Resources Director provides supervision of this position. In general, this position requires that the individual work independently approximately 90% of the time. Mentoring duties for individuals and/or clerical support may be required.

Qualification Requirements

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Minimum/Preferred Qualifications

Minimum: This position requires an Associate\'s Degree and one year experience in clerical /secretarial fields or training; or a minimum of one year (30 credit hours) of college level courses at an accredited Junior College, Community College, 4-year College or 4-year University AND two years of experience in clerical or secretarial fields; or a high school diploma and 3 years of experience in clerical or secretarial fields. Must be at least 18 years of age. Persons hired into this position must be licensed drivers and have reliable transportation. If the current license is from out-of-state, a valid Colorado Driver\'s License is required within ten days of hire. Background check, drug and alcohol screening, references, and motor vehicle checks must be passed. Current motor vehicle insurance is required. Driving is an essential job duty.

Preferred: Google Workspace and/or Windows and MS Office software.

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually moderate to loud. Working conditions normally involves inside environments. This position requires working irregular or extended work hours.

LANGUAGE SKILLS: Able to read and comprehend simple instructions, correspondence, and memos. Able to read, analyze, and interpret general business periodicals, professional journals, technical procedures, manuals, or governmental regulations. Able to write reports, business correspondence, and procedure manuals. Able to effectively present information and respond to questions from groups of administrators, managers, employees, individuals in service and or their parents, and the general public is required.
MATHEMATICAL SKILLS: Able to apply basic mathematical skills to include concepts such as fractions, percentages, ratios, and proportions to practical situations. Able to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY: Able to deal with problems involving a variety of concrete variables in standardized situations. Able to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Able to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Able to define problems, collect data, establish facts, and draw valid conclusions.

Other Skills And Abilities
