Project Coordinator Administrator Location:

Project Manager Position Overview Boxman Studios is seeking a proactive and highly organized
Project Coordinator Administrator
to support our Production, Construction, and Project Management teams. This role is central to keeping projects running smoothly from pre-construction through completion. The Project Coordinator Administrator will manage project documentation, assist with procurement and scheduling, and provide critical administrative and logistical support across teams including Production, Construction, Design & Engineering, and Purchasing. This is a great opportunity for someone detail-oriented and resourceful, who enjoys problem-solving and collaborating in a fast-paced, design-driven environment. Key Responsibilities Manage and organize project files and records (drawings, specifications, reports, and correspondence) in both physical and digital formats. Support Project Managers by tracking schedules, deliverables, and budgets; prepare regular project updates and reports. Assist Purchasing Manager with material orders, vendor coordination, and inventory control. Compile project closeout packages including warranties, manuals, and final reports. Schedule and coordinate project meetings; prepare agendas, take minutes, and follow up on action items. Input and maintain accurate project data in construction management and tracking software. Provide administrative support to the Design & Engineering team as needed. Help identify project risks, delays, or issues and escalate promptly. Facilitate clear communication between the Executive Team, Production, and Construction teams. Qualifications Bachelor's degree in Construction Management, Business, or related field preferred; equivalent experience considered. Proven administrative or project coordination experience, preferably in construction, modular building, or related industry. Proficiency in Microsoft Office Suite (Excel, Word, Outlook) required. Familiarity with project management or construction software (e.g., Procore, Autodesk, SharePoint, Smartsheet) preferred. Basic understanding of construction drawings and terminology is a plus. Excellent organizational skills with strong attention to detail. Ability to multitask, prioritize effectively, and stay calm under pressure. Strong communication skills and the ability to collaborate with diverse teams. Self-starter with a proactive, problem-solving mindset. Why Boxman Studios?
