Job Title: Administrative Assistant
Location: Chicago, IL (Hybrid – Onsite Tuesday, Wednesday, Thursday)

Compensation: $25 – $28 / hour
Work Schedule: Monday – Friday, 8:30 AM – 5:00 PM (36.5-hour work week with a 1-hour lunch)

Job Description: We’re looking for a proactive and detail-oriented Administrative Assistant to provide high-level support to senior leadership and team members across multiple departments. This role plays a key part in managing day-to-day operations, coordinating meetings and events, handling reporting, and supporting data management using CRM tools. This is a hybrid role with opportunities for long-term growth into an Executive Assistant position for the right candidate.
Key Responsibilities:
- Provide administrative support to senior-level staff, including calendar coordination, document preparation, and clerical duties
- Manage logistics for internal and external meetings, including preparing agendas, materials, and follow-ups
- Support event planning and execution including registration, database entry, and post-event reporting
- Maintain accurate data using CRM systems (Salesforce preferred) – includes data entry, donor tracking, and reporting
- Assist with financial and donor record-keeping, including expense tracking and pledge processing
- Perform regular mail merges and reporting tasks in Microsoft Excel
- Help manage office supply inventory and order event materials as needed
- Participate in data quality initiatives and cross-functional support projects
- Occasionally assist at off-site or evening events (advanced notice provided)
Qualifications:
- 5+ years of administrative experience, preferably supporting senior leaders
- Strong Microsoft Office skills, especially Excel (mail merges, reports, etc.)
- CRM/database experience required – Salesforce preferred but not mandatory
- Exceptional attention to detail, time management, and organizational skills
- Excellent verbal and written communication
- Comfortable working within a values-based, community-oriented organization
- Career-minded with interest in long-term growth into executive support
- Associate’s or Bachelor’s degree, or equivalent professional experience
