What You’ll Do
- Assist project managers with scheduling, documentation, and coordination of construction activities
- Prepare and manage submittals, RFIs, Change Orders, and Purchase Orders
- Maintain organized records of contracts, drawings, and project correspondence
- Assist project managers with preparing and submitting monthly pay applications to subcontractors
- Track job progress and maintain organized records
- Maintain and update project tracking systems
- Track and report on project KPIs such as budget adherence, schedule milestones, etc.
- File NTO’s, track lien releases, and other project specific documents
- Procure and manage bid ponds, payment & performance bonds, and other project specific bond requirements
- Assist with project closeout, warranties, and as-built documents
- Procure and manage project specific insurance
- Receive, organize, and manage invitations to bid and bid calendar
- Support compliance with safety regulations and company policies
- Provide administrative support for safety meetings, toolbox talks, and incident reporting
What We’re Looking For
- 5+ years of administrative experience with a general contractor or similar sized (or larger) subcontractor
- Strong Microsoft Office skills (Word, Excel, Outlook, Teams required)
- Excellent communication and multitasking abilities
- Highly organized and detail-oriented
- Comfortable working in a fast-paced, team-oriented environment
- Experience with QuickBooks Online is a plus
