Overview

Oakview Veterinary Medical Center has an opportunity for a Veterinary Receptionist to join our team.

Location: 2110 Jay Mar Rd., Plover, Wisconsin 54467

Shift Details: This is a full-time position (30+ hours/week) with a mix of opening and closing shifts and Saturday rotation. Opening as early as 7am for 8am readiness and early drop-offs; closing as late as 7pm on some nights (potentially later). Saturday shifts rotate. Business hours are 8am–12pm on Saturdays, with shift starts around 7:00–7:30am and ends around 1:00–2:00pm (later ends are rare).

Training program of at least 6 months before working alone on any shift.

Pay Range: $17.00 - $20.00/hour (based on experience).

Job Summary

The Receptionist is the first and last contact a client has with the hospital and plays a key role in creating first and lasting impressions. The Receptionist must have exceptional client service and communication skills, computer literacy, ability to handle payments and financial issues, ability to multi-task, a friendly attitude, and confidence to handle stressful situations. The Receptionist will support veterinarians, technicians, veterinary assistants, groomers, and kennel staff in daily patient and client care.

Responsibilities

  • Greet clients and pets by name with a friendly, solution-oriented attitude.
  • Answer phones promptly and professionally using a multi-line system; address inquiries about basic animal care, routine procedures, and veterinary services; provide knowledgeable advice about wellness, prevention, and diseases.
  • Screen and route calls; take and deliver messages promptly; pull medical records to assist staff with documentation.
  • Schedule appointments and surgeries according to hospital guidelines; make confirmation calls.
  • Note details in medical records about discussions, including date, time, key points, and required information.
  • Enter accurate charges; explain invoices and options; echo doctors’ recommendations at checkout.
  • Collect payments, handle cash, process credit cards, and verify IDs for checks.
  • Verify eligibility of clients with charge accounts.
  • Check and update medical and client records; scan new documents into patient records.
  • Fill prescription refill forms and provide routine administration instructions to clients.
  • Advise clients on flea/tick preventatives, heartworm preventatives, pre-anesthetic testing, pain management, shampoos, home dental products, and other retail items.

Qualifications

  • Demonstrated commitment to MPH core values.
  • Computer knowledge and ability to use email/internet; strong typing skills.
  • Working knowledge of veterinary terminology; ability to pronounce, spell, and understand terms.
  • Excellent spelling and grammar.
  • Ability to handle varied and sometimes difficult conditions; calm under pressure.
  • Ability to display tact and respect with clients and team members; maintain professionalism in stressful situations.
  • Genuine liking for animals and working in animal care.
