Job Summary

Duration will be for approximately six months. Please note that this will be hybrid, with 2-3 days per week on-site at Parnassus campus.

Will initially be fully on-site for training.

The HBC Admin Analyst will use their expertise as a seasoned operations professional to manage, plan, and oversee the daily and strategic operations of the Hematology/Blood Marrow and Transplant department. This role is integral in ensuring smooth operational performance, supporting strategic initiatives, and improving patient care delivery across the Hematology Clinic, Parnassus Infusion Center, and Cancer Immunotherapy Program. The successful candidate will be responsible for quality assurance initiatives, leading Unit-Based Leadership Team (UBLT) efforts, managing the departmental True North Board, and supporting expansion efforts for cancer services. This position requires strong judgment, problem-solving, and leadership in evaluating needs, anticipating challenges, and coordinating resources.

Key Responsibilities

Administrative Support Provide high-level administrative support to the Director of Operations and Directors of Nursing.

Manage complex calendars, prioritize appointments, and resolve scheduling conflicts.

Prepare and process travel reimbursements and employee expense reports.

Data & Reporting Create, track, and distribute the Average Daily Census report to ensure accurate patient tracking.

Analyze and report patient data to identify trends, patterns, and opportunities for improvement.

Support departmental quality and process improvement projects and provide regular updates.

Operational Management Maintain and update clinic operational policies, procedural manuals, and staff directories.

Manage budgetary, financial, and HR-related administrative operations.

Participate in and contribute to strategic department initiatives and expansion projects.

IT Support Provide first-level support for departmental IT systems and applications.

Submit and monitor IT tickets; coordinate implementation of electronic solutions to enhance efficiency.

Facilities Management Serve as point of contact for Facilities requests and coordinate service tickets.

Assist with renovations, relocations, and IT/facility evaluations for new or improved spaces.

Accounts Payable & Purchasing Act as primary contact for vendors and Accounts Payable inquiries.

Manage departmental purchasing, including requisitions, supply orders, and vendor contracts.

Maintain inventory and oversee equipment set-up, maintenance, and service agreements.

Human Resources Management Process HR forms (PAFs, ERFs, LOAs) accurately and on time.

Coordinate onboarding, orientations, and IT access requests for new staff.

Maintain and update personnel files in compliance with HR policies.

Oversee performance review process and compliance tracking (training, licensure, certifications, etc.).

Event & Program Support Coordinate department events, including the BMT Patient Reunion and staff gatherings.

Negotiate contracts, arrange catering, order supplies, and liaise with vendors.

Manage logistics including space, equipment, registration, and materials preparation.

Please note: An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

Department Description

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.

Required Qualifications

Bachelor's degree in a related area and/or equivalent experience/training.

Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling.

Knowledge of a variety of administrative operational activities (e.g., event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, contracts and grants regulations and guidelines).

Solid knowledge of common University-specific computer application programs.

Ability to use discretion and maintain confidentiality.

Strong skills in short-term planning, analysis, problem-solving, and customer service.

Thorough knowledge of financial analysis and reporting techniques, and/or human resources policies and procedures for staff and academic employees.

Preferred Qualifications

Thorough knowledge of University rules and regulations, processes, protocols, and procedures related to budget, accounting, fund management, and/or personnel management.
