JOB SUMMARY Reporting directly to the Director of Emergency Management, responsible for performing a wide range of advanced office administration duties for the Emergency Management Department.
EXAMPLES OF WORK PERFORMED
Provides customer service to customers and staff via telephone, email, or in person Assists in annual budget process by collaborating with department leadership on equipment needs and other departmental costs for budget development Assists in managing daily calendars for department leadership and department calendars Creates and schedules various meetings, including coordinating with both internal and external agencies on meeting availability Coordinates and schedules conferences and travel arrangements Tracks and monitors various budget reports and spreadsheets, including maintaining all financial documents related to department spending Performs purchasing coordination for the department, to include reconciliation/oversight of p-card use, generating purchase requisitions, processing invoices, maintaining relationships with suppliers, serving as liaison with county Accounts Payable (A/P) and Purchasing departments, and preparing end-of-fiscal year reporting Prepares reports and compiles documents to support the use of grant funds Maintains, inventories, and orders office supplies for the department Assists with updating policies and procedures Records and prepares meeting minutes as required Prepares and submits agenda items for required purchases and approvals Reviews, collects, transcribes, and processes paperwork and prepares documents for electronic use Maintains department records, as well as oversees retention and storage of department files Serves as primary point of contact for all payroll related items Assists and attends Emergency Operations Center activations Attends all meetings and trainings, as required Performs special duties as assigned ORGANIZATION RELATIONSHIPS

Position involves prolonged sitting at a workstation, visual examination of documents, reaching, walking, twisting, bending, standing and occasional lifting/carrying ENVIRONMENTAL FACTORS
Work is primarily indoors in an air-conditioned environment IRREGULAR HOURS

MINIMUM QUALIFICATIONS
Associate degree and two (2) years of office management/administration experience including fiscal and budget tracking practices; OR an equivalent combination of education and experience Working knowledge of Microsoft Office Suite LICENSES AND CERTIFICATIONS
Required within thirty (30) days of employment
Valid driver's license Criminal Justice Information Services (CJIS) Awareness training Required within one (1) year of employment
Federal Emergency Management Agency (FEMA) Incident Command System (ICS) 100, 200, 700, and 800 course completion PREFERRED QUALIFICATIONS
Prior experience in Public Safety or Emergency Management Two (2) years of experience in accounting or budgeting EMPLOYMENT TESTING
