Administrative Assistant III

Pay Rate/Range: $40.00 to $50.00

Hours: 8:00 a.m. to 5:00 p.m.

Location: Onsite in Indianapolis, IN

Duration: 36 months

Key Responsibilities

Administrative Support

  • Provide proactive, professional assistance to the Wave Lead and leadership team.
  • Manage calendars, travel, expenses, and meeting coordination.
  • Prepare agendas, documentation, and action tracking for leadership meetings.
  • Organize and manage internal and external events, workshops, and wrap-up activities.

Project Management

  • Collaborate as a project lead or team member on organizational initiatives.
  • Execute and monitor the Change Control Process for assigned areas.
  • Drive reporting activities, ensuring timely and accurate status updates.
  • Oversee project templates, documentation management, and progress reporting.

Strategic Support

  • Implement and support ASPIRE’s goals, vision, and strategy.
  • Proactively contribute tools, methods, and solutions to strengthen team performance.
  • Act as a liaison between leadership and teams to foster cooperation and increase effectiveness.
  • Support projects that enhance delivery, innovation, and operational excellence.

Qualifications

  • Associate or Bachelor’s degree (Bachelor’s preferred).
  • 5–7 years’ experience in an Assistant, Administrative Partner, or similar role.
  • Strong background in project management methods, including agile approaches.
  • Proficiency in Google Suite and collaboration tools.
  • Experience managing projects and working with virtual/global teams.

  • Excellent written and verbal communication skills; fluent in English.
  • Exceptional organizational, time management, and process management skills.
  • Ability to manage multiple competing priorities in a fast-paced environment.

  • Flexible, adaptable, and eager to learn new skills in a changing environment.
