Responsibilities

  • This position is responsible for providing a superior level of monitoring of all cell and gene shipments and end-to-end logistical oversight to ensure monitoring for cell and gene shipments by overseeing the end-to-end oversight of all cell and gene shipments, coordinating shipments, working with global branches to facilitate these movements, tracking through GPS technology, and proactively acting to avoid delays and risks.
  • Coordinate shipments, manage end-to-end coordination and management of shipments, and develop excellent working relationships with internal departments – Project Management, Operations, Customer Relationship Managers, and the Customer Services Team and Overseas Marken offices/agents.
  • Book shipments in Maestro against client specifications and pre-defined lane mapping; pre-alert branches and LSPs to collection and delivery instructions; review customer bookings in Maestro; update Maestro milestones and chase milestones not added as agreed.
  • Review Client Operating Procedures and manage all paperwork or checklists associated with cell and gene shipments; ensure documentation is accurate, complete and attached to Maestro as defined in COPs and SOPs.
  • Monitor GPS tracking on all CGT shipments as well as daily dashboards; monitor weather, civil unrest, strikes, or anything that would delay a shipment; provide clear and accurate information regarding handling of shipments, especially when shipments are delayed.
  • Post-flight and trace investigations to improve service; provide support and assistance when dealing with special requirements and inform the Customer Services Group / Project Management team accordingly.
  • Produce daily reports detailing any transport issues within the Marken network; monitor LSPs carrying out a job, including calling ahead, sending dispatch instructions, training and follow-ups to ensure 100% accuracy.
  • Ensure all PODs are recorded within the correct agreed time frames; monitor and analyze repetitive operational issues to develop solutions and lessons learned.

Qualifications

  • Associates degree, 4-year degree or applicable work experience as a substitute for education.
  • General logistics import/export knowledge, preferably in the Pharma/Clinical Trials industry.
  • Experience in the courier or air freight industry.
  • Strong knowledge of PC and Microsoft Programs (Excel, Word, Outlook).
  • Ability, thorough knowledge, to adapt/deal with inquiries & day to day issues.
  • Proven track record of excellent customer service; experience dealing with people and speaking to clients.
  • Eye for detail; organized/skilled in tracking; a problem solver.
  • Ability to multi-task and think on one’s feet; possess excellent communication skills.
  • Flexibility in working hours / shift work.
