Overview
The Shasta-Tehama-Trinity Joint Community College District (Shasta College) invites applications for the (Full-time) Student Services Coordinator (ACE/BOLD - SCAILE, Grant Funded). This position supports Innovation programs and provides proactive counseling, monitoring of student progress, and assistance to program students to troubleshoot barriers to access, retention, and completion. This is a 40-hour-per-week classified position with 12 months per year, hours 8:00 a.m. to 5:00 p.m., Monday through Friday, with CalPERS retirement. The role reports to the Associate Vice President of Innovation and Strategic Initiatives or designee.
Description of Basic Functions and Responsibilities
The Student Services Coordinator coordinates a wide variety of specialized Student Services activities to increase student success and engagement. Activities include welcome events, academic achievement events, social activities, academic support services, program outreach and recruitment, and campus tours. Responsibilities include preparing and maintaining office records, reports, and the area budget, and relieving the administrator of routine administrative tasks. The role may supervise student workers and other office staff and requires initiative, problem solving, independent judgment, and knowledge of District policies and procedures. The position supports the SCAILE/Innovation Department programs, including ACE, BOLD, DWD, CPL, and CBE, with emphasis on Credit for Prior Learning and Competency-Based Education.
Classification: Range 33 on the current Classified Salary Schedule, 40 hours/week, 12 months/year. Work hours: 8:00 a.m. – 5:00 p.m., Monday–Friday. This is a classified position with default CalPERS retirement.
Supervisor: Associate Vice President of Innovation and Strategic Initiatives or designee.
Essential Functions
- Exercise independent judgment within the scope of duties/projects; conduct outreach and recruitment for the District and Student Services or academic programs in collaboration with counselors and staff at local schools; work with higher education institutions and community partners.
- Coordinate with Marketing to produce outreach materials to support sustainable recruitment into student services and academic programs.
- Maintain a master calendar of events and activities, including webpages and media platforms; schedule tours and campus program orientation activities.
- Collect and record data; analyze and report on the effectiveness of outreach.
- Schedule, train, and oversee the work outcomes of student workers (tour guides, mentors, ambassadors).
- Maintain relationships with the local community and District staff to coordinate activities with other programs.
- Provide office support to coordinate administrative operations in student services as needed.
- Coordinate student activities including cultural awareness events, global education activities, academic support services, achievement ceremonies, and commencement.
- Maintain calendars, due dates, and schedules for assigned programs and services.
- Assist students with departmental and District guidelines, including parliamentary procedures and use of organization funds per Board policies.
- Serve as information source on policies and procedures; respond to inquiries requiring judgment and knowledge of procedures.
- Disseminate information about Student Services programs; assist prospective students with program intake processing.
- Plan and implement recruitment and retention activities (college nights, college and career fairs, etc.).
- Prepare materials such as communications, brochures, forms, reports, and special projects; independently compose correspondence.
- Collaborate with student leaders, staff, and faculty to plan, organize, promote, supervise, and evaluate student programs and events.
- Provide support to Student Senate or other student-focused programs.
- Handle confidential information securely and maintain confidentiality.
- Process purchase orders; maintain budget records and computerized records of expenditures.
- Develop forms and recordkeeping systems; use software applications to collect and report data.
- Arrange, attend, and schedule meetings; notify participants and prepare materials.
- Remain informed about academic programs and services to deliver engaging recruitment presentations.
- Review documents for accuracy and conformance to rules and policies; liaise between the office and other divisions.
- Prepare special reports and research issues as requested; may interview, train, and coordinate others.
- Perform other related duties as required.
Knowledge
- Principles, practices, and applications of assigned Student Services or academic programs, supports, and services.
- Professional office operations, including filing, correspondence, receptionist techniques, report writing, and electronic communication.
- Verbal and written communication; business English, grammar, punctuation, vocabulary, and spelling.
- Computer software: word processing, spreadsheets, databases, presentations, desktop publishing, and web page maintenance.
- Interpersonal communication, tact, patience, and courtesy.

Experience/Education
Education Required: A.A. degree or equivalent combination of education, training, and experience.
Education Preferred: Bachelor’s degree.
- Four years of increasingly responsible work experience or equivalent combination of education, training, and experience.
- Demonstrated sensitivity to diverse staff and student backgrounds, including individuals with disabilities.
