Job Title: Executive Assistant

Compensation: $100,000 $110,000 base salary, plus annual performance-based bonus

We are currently seeking a highly experienced and detail-oriented Executive Assistant to support their team and support Director-level staff and their teams. Position Overview:

We are looking for an Executive Assistant with 7+ years of relevant experience to provide high-level administrative support to Director-level leaders and their broader teams. The ideal candidate thrives in a team-oriented environment and has demonstrated success managing complex calendars, coordinating travel, processing expenses, and handling communication from a shared inbox. Experience in the financial sector is a plus.

Key Responsibilities:

  • Manage and triage a shared inbox, responding to and flagging priority messages in a timely and professional manner
  • Provide comprehensive calendar management for multiple Director-level staff, including scheduling meetings across time zones, resolving conflicts, and ensuring optimal time use
  • Coordinate domestic and international travel arrangements, including flights, accommodations, itineraries, and ground transportation
  • Prepare and submit expense reports in compliance with company policies and timelines
  • Serve as a liaison between directors, their teams, and internal/external stakeholders
  • Handle sensitive and confidential information with discretion and professionalism
  • Collaborate with other Executive Assistants to ensure seamless support across the broader organization

Qualifications:

  • Minimum 7 years of experience as an Executive Assistant, preferably supporting Director-level or senior leadership
  • Prior experience working from a shared inbox is highly desirable
  • Strong organizational and time-management skills with the ability to prioritize and multitask effectively
  • Exceptional communication skills, both written and verbal
  • Proficient in Microsoft Office Suite and tools such as Outlook, Excel, and expense platforms (e.g., Concur, Expensify)
  • Demonstrated ability to work well in a team-oriented environment
  • High degree of professionalism, discretion, and reliability
