Base pay range

$100,000.00/yr - $130,000.00/yr

Position Summary

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our Chief Financial Officer (CFO) and Chief Technology Officer (CTO). This individual will play a critical role in ensuring the smooth operation of their daily schedules and strategic priorities. The ideal candidate is detail-oriented, resourceful, and capable of handling a wide range of executive and project-level tasks with discretion and professionalism.

Responsibilities & Duties

Executive Support

  • Provide high-level administrative support to the CFO and CTO, including:
  • Managing and coordinating complex calendars, meetings, and appointments
  • Planning and booking domestic and international travel
  • Preparing and processing expense reports and invoices
  • Drafting and editing correspondence, reports, and PowerPoint presentations
  • Handling a variety of other administrative tasks as needed

Project & Event Coordination

  • Support cross-functional initiatives including:
  • Assisting with investor relations and corporate communications
  • Coordinating logistics and materials for internal and external events, meetings, and conferences

Executive Office Backup

  • Serve as backup administrative support for the Chief Executive Officer (CEO) and President, including:
  • Managing calendars and scheduling meetings
  • Coordinating complex travel itineraries
  • Preparing expense documentation and reimbursements
  • Works closely with the Office Manager and provides back up support related to managing the Mill Valley office when needed

Required Experience & Education

  • Minimum of 5 years of experience supporting senior-level executives in a fast-paced, dynamic environment
  • Proven ability to manage multiple high-level priorities with discretion, confidentiality, and efficiency
  • Exceptional written, verbal, and interpersonal communication skills
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); tech-savvy and quick to learn new tools
  • Excellent organizational skills and attention to detail
  • Calm under pressure and adept at resolving issues with a positive, solution-focused attitude
  • Strong customer service mindset and a proactive, team-oriented approach
  • Bachelor’s degree preferred; equivalent work experience will be considered

A reasonable estimate of the total compensation range for this role is $100,000-$130,000. The actual salary offer to the successful candidate will be based on job-related education, geographic location, training, licensure and certification, and other factors.
