Our financial services client is seeking an Executive Assistant to support the organization. Reporting to the Office Manager, the Executive Assistant (“EA”) role will be a proactive, forward thinking, highly organized, and discreet individual to manage both personal and professional affairs for the Managing Director. The successful candidate for this position will have several years of experience supporting a senior level executive(s) with sophisticated administrative support. This person will be a thoughtful, diligent, and professional experienced in handling a wide range of administrative, executive support-related and personal matter. Working independently, in a pro-active and forward-thinking manner, this role will serve as a liaison to internal leadership, senior management at investments and limited partners. The ideal individual will have the confidence and ability to exercise good judgment in a diversity of situations. Exercising the utmost discretion, this individual will have the sophistication and gravitas to act on the Managing Director’s behalf. S/he will have strong written and verbal communication, administrative and organizational skills, as well as the ability to balance multiple priorities.

Key responsibilities

  • Daily management, coordination and planning of the Managing Director’s complex schedule, prioritizing and resolving any conflicts.
  • Proactively consider trade-offs between short and long-term priorities looking six months to a year out.
  • Act as a business partner on all administrative matters. Provide insight and solutions - and highlight areas of concern in places where action or decisions are needed on urgent matters.
  • Keep the Managing Director organized, informed, and prepared for anything that comes his way. Conserve time by reading, researching, collecting and analyzing information as needed, in advance.
  • Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting deals, operations of the company, and personal matters related to the Managing Director.
  • Coordinate domestic and international travel. This can include executing complex travel itineraries, including private aviation, maintaining up to date records of visas, passports, and other necessary documentation for both work and family.
  • Represent the company, the Managing Director, and the Flagship Fund in a positive light through great follow-through skills and sound judgment.
  • Prepare Word, Excel, PowerPoint presentations, and other documents in support of Managing Director’s and organization’s objectives.
  • Screen incoming calls and emails. Respond to emails on behalf of the Managing Director, or flag important messages for his attention, as well as any requests by gathering and providing information and referring non-routine calls and emails to the appropriate personnel.
  • Manage contacts.
  • Perform additional duties – including planning and managing events; arranging personal appointments, medical visits, family schedules and concierge-related tasks; and coordinating with legal, finance, and tax professionals.

  • Service focus. Dedicated to meeting the expectations of the Managing Director and all other stakeholders by maintaining effective relationships with interested parties.
  • Ability to think outside of the box while working with a sense of urgency.
  • Possesses flexibility to adapt to last-minute changes.
  • Bachelor's degree with 5+ years of related experience supporting a senior executive.
  • Financial Services or Investment Sector experience preferred
  • Willingness to be in the office four days a week.
