Position Summary

The Executive Assistant provides high-level administrative support to the President and leadership team. This role is responsible for managing complex calendaring and scheduling, coordinating meetings and events, preparing and distributing board materials, and ensuring that all administrative processes run smoothly. The Executive Assistant acts as a trusted partner to the President, handling confidential information with discretion and professionalism.

Key Responsibilities

  • Calendaring and Scheduling — Manage and maintain the President’s calendar, including scheduling meetings, appointments, and travel. Anticipate scheduling conflicts and proactively resolve them. Ensure the President is fully prepared with agendas, materials, and background information.
  • Board of Directors and Governance Support — Prepare and distribute board meeting materials in coordination with leadership. Schedule and coordinate board and committee meetings, including logistics, catering, and technology support. Maintain accurate records of board materials and correspondence. Support governance processes by ensuring compliance with organizational policies and best practices.
  • Licensing and Compliance — Monitor and manage trademarks and licensing renewals to ensure timely compliance. Oversee live music licensing requirements, filings, and renewals. Track deadlines and coordinate with internal or external partners to maintain good standing.
  • Meeting and Event Coordination — Organize and set up meetings, both in person and virtual, including preparing agendas and supporting documents. Capture meeting notes, track follow-up items, and ensure timely completion of action steps. Plan and coordinate events, ensuring smooth execution of logistics, vendor coordination, and supporting materials.
  • Document Preparation and Communication — Draft, proofread, and edit correspondence, presentations, and reports for the President. Prepare confidential documents with accuracy and attention to detail. Support communication between the President and internal or external stakeholders.
  • Executive Support — Serve as the primary point of contact for the President’s office, managing incoming requests and prioritizing appropriately. Coordinate travel arrangements, itineraries, and expense reporting. Maintain discretion and professionalism while managing sensitive and confidential matters.

Qualifications

  • Proven experience as an Executive Assistant or in a similar senior administrative role.
  • Strong organizational and project management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms.
  • Ability to handle confidential information with discretion.
  • Demonstrated ability to prioritize and manage multiple tasks in a fast-paced environment.
  • Familiarity with legal processes, contracts, or compliance matters preferred.

Salary Range: $80,000-$100,000
