What You’ll Do (Essential Responsibilities)

As the Executive Assistant to the General Manager, you will play a key role in ensuring smooth day-to-day operations of the GM’s office and providing support for business priorities. Responsibilities include:

  • Manage executive calendars, including scheduling appointments, meetings, and travel arrangements.

  • Coordinate and prioritize incoming requests and communications, including emails, phone calls, and mail.

  • Prepare and edit correspondence, reports, presentations, and other documents on behalf of the GM.

  • Conduct research and gather information to support decision-making and project management.

  • Attend meetings, take minutes, and follow up on action items to ensure timely completion.

  • Assist with event planning and coordination for company meetings, conferences, and special events.

  • Manage expense reports and reimbursements for the GM, ensuring accuracy and compliance with policies.

  • Handle ad-hoc administrative tasks and special projects as assigned.

  • Manage the reception team, including scheduling, ensuring coverage, and providing oversight to maintain a professional front desk experience.
  • Serve as a liaison between the dealership and the Principle Auto Home Office, ensuring smooth comunication and alignment with company initiatives.

  • Follow all policies and procedures in accordance with BMW, Principle Auto Group, and the Associate Handbook.

  • Complete all required training by BMW and Principle Auto Group by the assigned deadlines.

What You Bring (Qualifications)
  • Proven experience as an Executive Assistant, Administrative Assistant, or in a similar support role.

  • Strong organizational, time-management, and multitasking skills.

  • Excellent written and verbal communication abilities.

  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and related tools.

  • Professional demeanor and appearance.

  • Ability to handle sensitive and confidential information with discretion.

  • Experience in the automotive industry is a plus, but not required.
