Overview
The Executive Assistant will ensure the most efficient use of the executives' time as well as act as the liaison between the Chief Executive Officer and other staff. The successful candidate will anticipate, initiate, coordinate, and follow up on logistics required for the Chief Strategy Officer and the New York office. This position will be based in New York City.
Responsibilities
- Manage calendar and prioritize appointments with the Chief S Officer and All staff meetings.
- Understand the scheduling needs of the Chief Executive Officer and ensure the calendar is up to date.
- Act as gatekeeper and primary point of contact between internal staff and visitors, as required.
- Be responsive, greet and properly direct all clients and guests upon arrival to the New York office.
- Ensure that the New York office is appropriately equipped with office supplies, breakroom supplies, and the shared spaces are kept tidy.
- Coordinate conference rooms and meal arrangements for internal and external meetings.
- Prepare expense reports and track reimbursements on a reoccurring basis for Chief Executive Officer, Chief Strategy Officer, and Chief Legal Officer.
- Assist Vice President of Human Resources with onboarding new employees in Paylocity.
- IT coordination – approve IT requests from Electric via TEAMS or email. Support onsite IT visits to the office.
- Manage facilities requests in New York office, work with facilities manager on requests as needed.
- Work with security to request new badges for new employees in NYC office and troubleshoot any badge issues.
- Manage Radial Power Linked In page with company updates.
- Website management: work with website developers on updates for Radial Power website. Manage the company’s general email inbox
- Manage packages, physical mail and correspondence
- Approve invoices for accounting as needed.
- Coordinate agendas for weekly leadership meetings.
- Develop relationships with executive contacts, and gain recognition as a team resource.
- Other duties as assigned.
Required Education
- Undergraduate degree preferred.
Required Experience
- 3+ years of relevant executive assistant experience.
- Experience working in a corporate environment.
Other Skills
- Experience in a role that requires a high level of discretion with confidential information.
- Bilingual preferred.
- Strong communication skills, both written and verbal.
- Notary preferred.
- Excellent professional demeanor with the ability to work with a wide range of levels and management.
- Keen attention to detail.
- Must possess strong organizational skills.
- Comfortable working in a fast-paced environment, ability to multi-task, shift direction easily and prioritize.
- Good judgment, discretion, and strong discipline.
- Team player, self-starter.
- Strong proficiency with Microsoft Office applications.
Physical Requirements
The Executive Assistant may be required to endure the following physical activities, environmental conditions, and physical demands:
- remain in a stationary position, often standing or sitting for prolonged periods,
- moving about to accomplish tasks or moving from one worksite to another,
- adjusting or moving objects up to 20 pounds in all directions,
- repeating motions that may include the wrists, hands and/or fingers, and
- assessing the accuracy, neatness and thoroughness of the work assigned.
