Position
Position Summary
The Executive Assistant provides administrative support to the Chief Operating Officer (COO) and President/Chief Executive Officer (CEO). This role requires exceptional communication skills, attention to detail, and the ability to manage complex schedules and confidential information. The Executive Assistant serves as a key liaison between executive leadership and internal/external stakeholders, ensuring seamless coordination and execution of executive-level priorities.
Job Responsibilities
- Provide high-level administrative support to the COO and President/CEO, including calendar management, travel arrangements, meeting coordination, and expense reporting.
- Prepare and edit correspondence, presentations, and reports with a high degree of accuracy and professionalism.
- Coordinate logistics for executive meetings, events, and travel.
- Serve as a gatekeeper and point of contact.
- Maintain confidentiality of sensitive information and exercise discretion in all interactions.
- Assist with special projects and strategic initiatives as directed by executive leadership.
- Manage priorities and deadlines in a fast-paced, dynamic environment.
- Build strong relationships across departments to facilitate effective communication and collaboration.
- Responsible for the Company's Security and Safety Management System (SMS) and associated Safety Risk Management and Safety Assurance outputs.
- Performs other duties as assigned.
Position Specifics
Required Qualifications
- High school diploma or equivalent
- Minimum of 5 years of experience supporting senior executives, preferably in aviation or a corporate environment
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Ability to handle confidential information with integrity and professionalism
- Flexible and adaptable to changing priorities and schedules
- Ability to speak/read/write in English
- Authorized to work in the U.S. (as required)

- Bachelor’s degree

- Supervisory Responsibility: This is not a supervisory position
- Delegation: In absence, responsibilities delegated to President/CEO and COO

- Work Environment: Professional office environment; standard office equipment
- Physical Demands: Sedentary role with occasional lifting up to 25 lbs and stationary/standing requirements as described
