The Opportunity
OneClick is seeking a highly organized and proactive Executive Assistant to provide high-level support to our CEO and Executive Leadership Team. In this pivotal role, you will manage day-to-day operations, coordinate cross-functional initiatives, and ensure smooth execution of administrative, travel, and office management responsibilities. Your work will enable the CEO and leadership team to focus on strategic priorities and company growth.

We’re looking for someone with exceptional time management and organizational skills, who can anticipate needs, solve problems proactively, and take initiative without constant direction.
Responsibilities
- Executive & Leadership Support
- Strategically manage the CEO’s calendar, including scheduling, prioritization, and coordination of complex meeting logistics across multiple time zones.
- Support the CEO with tasks and coordination related to his other business ventures, such as sharing resources, aligning on scheduling needs, and facilitating smooth communication with external stakeholders.
- Provide support for select personal tasks for the CEO to ensure seamless schedule management, such as coordinating appointments, family events, and other personal commitments as needed.
- Support the broader executive leadership team with scheduling, meeting preparation, and follow-ups, and/or special projects to ensure alignment and execution on strategic initiatives.
- Work closely with the Chief of Staff on operational priorities, including monitoring company-wide initiatives, tracking action items, and ensuring alignment between executive objectives and day-to-day execution.
Travel & Event Coordination
- Manage end-to-end travel logistics for event participants, including bookings, cancellations, and alignment with event schedules.
- Oversee and execute all company travel logistics beyond events, supporting travel needs for all employees across the organization.
- Coordinate with internal teams and external vendors to ensure seamless travel experiences and real-time issue resolution.
- Prepare detailed itineraries, track expenses, and align travel plans with overall event and project objectives.
- Partner with the Marketing team to coordinate mailing, shipping, and receiving of items for tradeshows.
Office & Operations Management
- Maintain and regularly update key company documents and resources within Google Drive, ensuring information is accurate, organized, and easily accessible for internal teams and leadership.
- Oversee daily office operations, including ordering and managing supplies, maintaining equipment, and managing vendor relationships to ensure a productive and efficient work environment.
- Handle incoming and outgoing mail, shipping, and deliveries; ensure timely distribution and maintain accurate records when needed.
- Liaise with building management, service providers, and contractors to address office maintenance, repairs, and facility needs.
Qualifications
- 3+ years as an Executive Assistant, Administrative Assistant, or similar role supporting C-level executives.
- Exceptional organizational and time management skills, with the ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills, with the ability to draft professional correspondence and interact confidently with internal and external stakeholders.
- High level of discretion and confidentiality in handling sensitive information.
- Proficiency in productivity and collaboration tools (e.g., Google Workspace, Microsoft Office Suite, Slack, project management software like Asana or Trello).
- Calendar and travel management expertise, including coordinating complex schedules and international travel.
Compensation And Benefits
- Annual salary range is $70,000 – $85,000, based on experience.
