Overview
Executive Assistant
We are seeking an experienced Executive Assistant to support the CEO. This role requires a professional who is adept at managing C-Suite level responsibilities, including calendar and meeting management, to ensure the seamless progression of daily operations. The successful candidate will be a proactive listener, well-organized, and open to contributing business-driving ideas. This position offers an opportunity to play a pivotal role in the company's growth rather than just handling routine tasks.
Responsibilities
- Manage all activities in Outlook, including maintaining contact databases and managing professional and personal calendars and schedules.
- Anticipate the CEO's future calendar needs and prepare briefing materials in advance.
- Continually update and maintain the company's Accountability Chart for all divisions.
- Compile reports and updates from various systems and personnel.
- Serve as a liaison between the CEO and other employees.
- Complete special projects and assignments by setting objectives, managing time, and solving problems.
- Communicate gracefully and diplomatically with both internal colleagues and external parties.
- Maintain awareness of special projects and corporate strategic and operational priorities.
- Manage expense reporting and selected personal financial matters for the CEO with confidentiality.
- Assist with general office administration, including office management and room reservation management.
- Plan and execute all aspects of the company's Annual Incentive Trip.
- Assist in answering inbound office calls.
- Lead strategic initiatives that support the company's culture and long-term success.
- Anticipate needs and proactively address issues.
- Assist other Leadership Team members as assigned.
- Resolve operational and administrative issues.
- Organize and maintain physical file systems.
- Perform other duties as assigned.
Essential Skills
- Experience as an Executive Assistant at the C-Suite level.
- Proficiency in calendar management using Outlook.
- Bachelor's degree.
- Strong business acumen.
- Great work tenure.
Additional Skills & Qualifications
- Experience with expense reporting software is beneficial.
- Experience in travel management (domestic and international) is advantageous.
Work Environment
The role is primarily in-office, with typical hours from Monday to Friday, 8 AM to 5 PM. However, flexibility is required to accommodate international communications and peak workload periods. The dress code is business casual, with an expectation of neatness and professionalism. The position became available due to relocation constraints of a previous employee.
Job Type & Location
This is a Permanent position based out of Greenwood Village, Colorado.
Pay and Benefits
The pay range for this position is $90,000 - $100,000 / yr.
