Base pay range

$110,000.00/yr - $125,000.00/yr

As the organization expands its reach, it seeks an executive support partner to help scale the CEO\'s impact. This is beyond managing a calendar; it\'s about staying ahead of what\'s needed, aligning priorities, streamlining communications, supporting monthly social event coordination and handling ad-hoc projects that contribute to the spirit of the organization and to long term planning.

What you\'ll do

  • Provide direct, strategic support to the CEO, mastering an intensely busy calendar and coordinating meetings with internal and external stakeholders.
  • Prepare meeting materials, historic data, notes from prior meetings, and any needed presentations; ensure the CEO has what is needed for each meeting with time to review.
  • Shepherd the CEO through daily commitments, ensuring external meetings start on time; assist with greeting, seating and hospitality as needed.
  • Guard the CEO\'s calendar, realign for maximum effectiveness and efficiency, and provide a thoughtful daily schedule that includes travel time, protected work time, and personal care needs.
  • Plan recurring meetings and events for the year (board meetings, organization-wide gatherings, trainings) and coordinate related logistics.
  • Support longer-term goals by capturing the CEO\'s vision and coordinating with needed people to advance those initiatives.
  • Contribute to organizational event planning in a supporting capacity and coordinate small ad hoc projects (e.g., sourcing branded treats or swag).
  • Communicate on behalf of the CEO, delivering messages professionally and acting as a trusted proxy.

You are

  • Experienced Executive Assistant with a proven track record supporting a CEO or C-Suite in dynamic, high-profile environments; excels at calendar and meeting management and anticipates conflicts.
  • Well educated with strong writing and proofreading abilities.
  • Capable of event and project coordination.
  • Discreet, persistent, and able to seek executive attention when needed while maintaining privacy.
  • Open to direct feedback and able to provide clear, professional feedback to the CEO and others.
  • A continuous learner who values process improvements in work product, processes, and communications.
  • Community-minded and comfortable in a collaborative, in-person/remote hybrid environment (inwood office 4 days/week, 9-5, with occasional travel to other NYC locations).
  • Responsive communicator who can adjust calendars or respond to questions as needed, understanding that timely handling reduces after-hours needs.
