Overview

The Administrative/Executive Assistant will provide administrative support to assigned senior executive(s) in a professional, efficient, and confidential manner. The position requires discretion, judgment, tact, poise, and the ability to prioritize and be proactive in anticipating the business needs of the assigned senior executive(s). The Executive Assistant must possess superb time management skills, excellent verbal and written communication skills, a productive approach toward work, and a strong sense of urgency.

Saatchi & Saatchi currently maintains a hybrid work policy to work in-office three days per week and remotely the other two days each week.

Responsibilities

  • Provide support with a high degree of initiative, confidentiality and professional demeanor.
  • Maintain poise to project a professional image with diplomacy and creativity in work strategies.
  • Maintain calendars using Microsoft Outlook with little input. Schedule meetings using knowledge and good judgment of priorities.
  • Expense reporting – Travel and Expense preparation and submission via SAP or similar system.
  • Input weekly timesheets, maintain up to date status on department timesheets and vacation calendars.
  • Manage executive travel needs including scheduling travel, securing hotel reservations, booking plane tickets/rental cars, monitoring travel schedules and providing back-up plans as needed.
  • Manage and plan onsite and offsite events including catering, location identification, hotel partnerships, identifying vendors, and other logistical needs.
  • Create and collaborate on Google Slides and PowerPoint presentations, with a command of effective information and slide design.
  • Build effective, professional relationships with co-workers, clients and business partners.
  • Perform duties and projects as assigned by senior executives.

Qualifications

  • 2+ years of in-office experience in an administrative capacity.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint and Outlook) and Google Suite (Google Slides, Sheets, Docs).
  • Excellent communication skills.
  • Strong organizational and project management skills.
  • Attention to detail and accuracy.
  • Excellent judgment, problem solving and decision-making ability.
  • Excellent relationship building skills.
  • Ability to handle sensitive and confidential information with integrity.
  • Ability to multi-task and prioritize; demonstrated agility and flexibility.
  • Passion and enthusiasm for the position, and building a career in a creative industry.

Compensation Range: This position follows the pay range determined at posting time and is subject to change.
