Your role

As an Executive Assistant at Global Relay, you will support our commercial leadership team, with a dual focus on the EVP of Americas Sales and the Head of Global Presales. This position helps keep operations running smoothly and ensures that Sales and Presales operate with focus, efficiency, and impact. You will manage a variety of administrative, scheduling, logistical, and operational tasks while serving as a trusted partner to senior leadership, contributing to business goals and strategy.

Your responsibilities

  • Executive & Administrative Support
    • Handle day-to-day administrative tasks, including organizing files, managing invoices, expenses, and communications
    • Act as a liaison between senior executives (including C-suite, directors, and VPs) and staff, ensuring effective communication
    • Maintain confidentiality and discretion when handling sensitive information
  • Scheduling & Coordination
    • Manage complex calendars, resolve conflicting priorities, and optimize executives’ time
    • Coordinate domestic and international travel logistics, including flights, accommodations, and documentation
    • Prepare meeting agendas, record minutes, track action items, and follow through on deliverables
  • Operational & Project Support
    • Partner with Finance, Marketing, Sales, and other teams to ensure smooth operations
    • Support preparation of executive-level presentations, reports, and documents aligned with company goals
    • Conduct research, analyze data, and prepare summaries to aid executive decision-making
    • Assist in planning and executing key events such as customer briefings, sales kickoffs, and marketing initiatives
    • Take on project management responsibilities for initiatives across Sales and Presales

About you

  • Minimum of 2 years’ proven experience in an administrative or executive assistant role (B2B experience strongly preferred)
  • Experience supporting senior management and C-suite executives
  • Advanced proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint); Salesforce or CRM tools are a plus
  • Strong written and verbal communication with attention to detail
  • Highly organized with excellent time management for multiple priorities
  • Proactive, adaptable, and thrives in a fast-paced, high-growth environment
  • Ability to work independently and collaboratively across teams
  • Strong problem-solving, critical thinking, and professional demeanor

Compensation: Global Relay advertises the pay range for this role in compliance with applicable pay transparency laws. The range below reflects the expected annual base salary, which is one element of our total rewards package. We offer a comprehensive benefits program, including health coverage, disability insurance, vacation accrual with tenure, paid sick days, parental leave, commuter benefits, bonuses, and a 401(k) with company matching. For New York-based employees, additional perks include a subsidized meal program.

Base salary range: $70,000 USD - $90,000 USD
