Overview
Executive Assistant to the Chief Information Officer (CIO) provides high-level administrative and operational support, ensuring the efficient management of the CIO’s office. The role requires exceptional organizational, communication, and problem-solving skills, with the ability to manage sensitive information and support complex business and technology initiatives. The ideal candidate is proactive, detail-oriented, and capable of thriving in a fast-paced, dynamic environment.
Location: East Lansing, MI (Onsite)
Key Responsibilities
- Executive Support – Manage the CIO’s calendar, schedule meetings, and coordinate complex travel arrangements. Screen and prioritize incoming communications, and respond on behalf of the CIO when appropriate. Prepare, review, and edit correspondence, reports, presentations, and other documents. Ensure the CIO is well-prepared for meetings by developing agendas, briefing materials, and tracking follow-ups.
- Operational Coordination – Act as a liaison between the CIO and internal teams, external partners, vendors, and stakeholders. Support the coordination of IT leadership team meetings, including logistics, documentation, and action item tracking. Assist in the preparation of materials for board meetings, executive committees, and cross-functional initiatives. Maintain organized systems for managing priorities, projects, and documentation.
- Confidentiality & Professionalism – Handle highly sensitive and confidential information with discretion. Maintain professionalism and sound judgment in interactions with executives, employees, and external contacts.
- Project & Process Support – Provide support on special projects, research, and initiatives as directed by the CIO. Track project deadlines, deliverables, and ensure follow-up on outstanding tasks. Identify opportunities to streamline processes and improve efficiency within the CIO’s office.
Qualifications
- Education: Bachelor’s degree preferred or equivalent experience.
- Experience: 5+ years of executive administrative support, preferably supporting C-level executives in IT, technology, or corporate functions.
- Strong organizational and time management skills; ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, SharePoint, Zoom).
- Ability to work independently, take initiative, and anticipate needs.
- High level of discretion, integrity, and professionalism.
