Our client, a consulting firm that supports innovators in building a healthier, more humane world, is seeking a highly skilled, resourceful, and collaborative Executive Assistant to partner with the CIO. In this role, you’ll serve as a trusted partner and the organizational backbone of the CIO’s office, ensuring seamless operations, anticipating needs, and enabling the CIO to focus on high-priority initiatives that drive the company’s mission.
Responsibilities
- Manage complex and dynamic calendars, ensuring priorities are met and time is used effectively.
- Coordinate meetings with internal and external stakeholders, ensuring agendas, materials, and logistics are well-prepared.
- Handle sensitive and confidential information with discretion and professionalism.
- Arrange domestic and international travel, including flights, accommodations, and ground transportation.
- Prepare, review, and reconcile monthly expense reports with precision and timeliness.
- Support team-wide operations, including small-scale event coordination and collaboration on larger initiatives.
- Partner with other Executive Assistants across the organization, providing backup coverage as needed.
- Plan and execute events.
Ideal Experience
- Bachelor's degree or equivalent experience is preferred.
- Minimum of 5+ years of experience as an EA supporting C-Level executives or senior leaders in a legal environment.
- Exceptional organizational and time-management skills with a proven ability to manage complex calendars, coordinate travel, and handle expense reporting with meticulous attention to detail.
- A strong understanding of investment and corporate terminology, processes, and confidential document management. Ability to handle sensitive information with the utmost discretion and professionalism.
- Excellent written and verbal communication skills.
- Demonstrated ability to anticipate the needs of executives and take initiative to solve problems before they arise.
- The ability to thrive in a fast-paced, dynamic environment and adapt quickly to changing priorities.
- Team player with strong interpersonal skills, capable of building positive and collaborative relationships with internal and external stakeholders at all levels.
- Strong critical thinking skills with a resourceful and innovative approach to solving complex logistical and administrative challenges.
