Key Responsibilities

  • Provide sophisticated calendar management for the President & CFO that includes ability to prioritize conflicts, make judgments and recommendations to ensure smooth day-to-day engagement in a global organization.
  • Complete a broad variety of administrative tasks that facilitate the President & CFO’s ability to effectively lead the organization, including assisting with special projects; supporting the production of complex documents, reports and presentations for briefings; collecting and preparing information for meetings with staff and external parties; composing and preparing correspondence; arranging complex and detailed travel plans and completing expense reporting.
  • Work closely with the President & CFO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Anticipate the President’s needs in advance of meetings, conferences, travel, etc.
  • Coordinate all executive leadership team meetings both virtual and in-person and assist with staff meetings and events as needed. Support agenda creation for meetings and coordinate all logistics. Provide meeting minutes and capture actions from staff meetings. Proactively follow-up on team action items.
  • Work with executive leadership team and their staff to coordinate activities. Build effective relationships with the team and demonstrate leadership to maintain credibility and trust. Work across the organization to coordinate activities, meetings, events, travel, and actions.
  • Serve as primary point of contact for President & CFO including those of a highly confidential or critical nature. Answer, screen, and place phone calls; manage inbound and outbound correspondence as required.
  • Other projects / duties as assigned.

Required Education/Experience, Skills, And Qualifications

  • Minimum of 5 years’ experience as an Executive Assistant to Senior Executives
  • Strong ability to execute work with a diversity, equity, and inclusion lens.
  • Expert proficiency with MS Office tools (Excel, PowerPoint, Word) and other desktop tools; ability to design and edit presentation and materials
  • Strong verbal and written communication skills
  • Exceptional organizational skills and impeccable attention to detail
  • High degree of professionalism in dealing with a diverse group of people including board members, senior executives, staff, external customers, future talent, etc.
  • Proven ability to work independently and handle multiple tasks simultaneously
  • Ability to react with appropriate levels of urgency to situations or events that require quick response or turnaround
  • Able to maintain a high level of integrity and discretion in handling confidential information
  • Ability to work well within a global cross-functional team environment
