Overview

Department: Information Technology Services. The Executive Assistant to the Office of the CIO provides critical administrative support and customer relations for the Associate Vice Chancellor & Chief Information Officer (CIO) and staff in the Office of the CIO. The role may supervise part-time office staff and/or student workers. Regular attendance is essential, and the position requires ability to maintain professional relationships across campus.

Summary of Job Duties

The Executive Assistant supports the CIO and staff, coordinates office operations, policy development, reporting, documentation, and communication across teams. Serves as liaison between the Chancellor, Provost, other executives, Deans, faculty, IT staff, Legal, Procurement, Finance, and Human Resources.

Responsibilities

  • Provide administrative assistance to the CIO and Office of the CIO staff
  • Coordinate office operations, documentation, reporting, and policy administration
  • Coordinate communication across teams and levels within campus IT
  • Supervise part-time office staff and/or student workers as assigned
  • Ensure reliable and non-disruptive attendance and foster collegial working relationships

Qualifications

Minimum Qualifications

  • Bachelor's degree in general business administration, finance, or a related field or equivalent experience
  • At least three years of experience in administrative support or office management
  • Proficiency in Microsoft Office
  • Knowledge of software applications, database management, and accounting principles

Preferred Qualifications

  • Five or more years of experience in executive office management and support
  • Three or more years of fiscal management experience
  • Experience using Workday finance and human capital management
  • Knowledge of UofA operations, policies, procedures, laws and regulations
  • Knowledge of university financial/HR information systems and administrative policies
  • Demonstrated success communicating with diverse stakeholders including leadership, faculty, and students

  • Effective advocate with ability to interact with individuals at all levels
  • Attention to detail in composing and editing materials
  • Strong interpersonal skills; ability to handle confidential information
  • Ability to work in a fast-paced environment and manage multiple tasks
  • Ability to conduct research, resolve operational problems, and prepare reports
  • Ability to plan, organize, and coordinate activities, resources, and materials
  • Ability to build meeting agendas and notes
  • Diplomatic when navigating complex political relationships

Salary Information: $51,021
