Brief Summary of Work for this Position
The Executive Assistant coordinates day-to-day activities that support the operations and strategy for the Office of Academic Affairs and specifically Administration and Resource Management. This includes providing coordination and support to various AA initiatives within the resource management team, primary administrative support of the Associate Provost of Administration and Resource Management, and managing purchasing/travel/etc. processes. This position must be able to maintain positive relationships with campus partners and stakeholders to ensure initiatives continue to progress in a timely manner.
In support of the Office of the Provost, this position coordinates executive-level searches, plans and executes events, maintains office supply inventory, and supports facilities-related requests for the suite. This position interacts with a wide variety of academic and campus leaders.
Minimum Education and Experience Requirements
High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Preferred Education, Professional Skills, and Experience
- Experience in higher education.
- Ability to exercise judgement, tact, and discretion in dealing with a wide variety of administrators, faculty, staff, and members of the community.
- Solution-oriented with a can-do attitude; will seek out solutions to problems independently.
- Ability to manage multiple assignments, organize work, and establish work priorities with minimal supervision.
- Ability to analyze, interpret, and implement policy and procedural guidelines.
- Ability to coordinate a variety of resources in gathering information.
- Skilled at scheduling and maintaining quickly changing schedules.
- Ability to effectively manage and coordinate events and meetings.
- Experience with University purchasing processes and reconciliation.
- Ability to serve as the Designated Key Control (DKC) person for the Office of the Provost.
- Experience booking travel and conference reservations.
- Ample experience with Microsoft Office Word, Excel, PowerPoint, SharePoint, Teams, and Zoom.
