Tom Anelli & Associates, PC, Racine, WI, United States, 53404
Overview
Tabak Law is not your typical law firm. With a national footprint and a sharp focus on Social Security Disability, Veterans’ Benefits, and Workers’ Compensation, they serve clients who are often navigating the most difficult chapters of their lives. The team combines deep legal expertise with empathy and tenacity—advocating for those who have been overlooked, underserved, or wrongfully denied what they’re owed. Led by a respected and dynamic attorney, Tabak Law is known for getting results, building trust, and showing up for the people who count on them most.
We’re looking for an Executive Assistant. This role is the administrative engine behind the scenes—keeping operations on track, communication flowing, and priorities in focus. You’ll work directly with the firm’s owner, taking ownership of day-to-day logistics, supporting high-level planning, and ensuring no detail is overlooked. If you thrive under pressure, bring structure to chaos, and take pride in staying two steps ahead, you may be exactly who we’re looking for.
What you’ll do
- Calendar & Travel Management: Own the firm owner’s calendar—optimize, protect, and update it with foresight. Coordinate internal and external meetings, appointments, and engagements. Arrange all travel, including flights, hotels, transportation, and itineraries, ensuring alignment with the firm owner’s priorities and preferences.
- Inbox & Communication Handling: Manage the firm owner’s inbox daily—triage emails, flag urgent items, and draft timely, professional responses when needed. Ensure that key messages and action items are never overlooked, and keep internal and external communication flowing smoothly.
- Meeting & Documentation Support: Attend key meetings with the firm owner, take accurate and professional notes, and promptly produce clear, actionable summaries. Draft internal memos, prepare briefing documents, and ensure all deliverables discussed are tracked and followed up on.
- Project, Task & Operational Oversight: Help the firm owner stay on-task by anticipating needs, managing priorities, and preventing bottlenecks. Maintain oversight of time-sensitive items like FOIA requests or Court of Appeals materials. Ensure smooth administrative operations without requiring micromanagement or constant reminders.
- Events & External Coordination: Plan and execute firm-hosted or attended events from end to end. Manage setup, logistics, and teardown so the firm owner can show up ready and walk away without worry. Coordinate invitations, supplies, venues, and any external communication needed to ensure seamless delivery.
What we’re looking for
- Experience: At least 3 years in executive support roles, ideally supporting a business owner, managing attorney, or senior leader. Legal industry experience is a plus, but not required.
- Technical Skills: Proficiency with tools like Google Workspace (Gmail, Calendar, Drive), Zoom, Dropbox, and other productivity platforms. Strong typing, formatting, and document organization skills expected.
- Proactivity & Follow-Through: Anticipates needs without being asked. Follows up consistently, tracks action items, and keeps things moving without reminders. Builds trust by taking initiative and delivering reliably.
- Communication Skills: Clear, timely, and professional communicator—both written and verbal. Capable of drafting memos, summarizing meetings, and handling correspondence independently.
- Organizational Strength: Manages calendars, tasks, deadlines, and documents with precision. Keeps the firm owner on track and prevents details from slipping through the cracks.
- Professionalism & Discretion: Shows up prepared, polished, and represents the firm with care. Maintains absolute confidentiality when handling sensitive legal, client, and internal communications.
- Resilience: Can work with a strong personality and handle direct communication without taking it personally. Stays focused and composed under pressure.
Why you should work here
- Mission-Driven Impact: Your work will directly support a team that advocates for people navigating complex legal and administrative systems. From behind the scenes, you'll help make life-changing outcomes possible for clients who need it most.
- Work Closely with a Proven Leader: This is a rare opportunity to work side-by-side with a dynamic, experienced executive. You’ll sharpen your strategic thinking, problem-solving, and communication skills while building real trust and responsibility.
- Growth & Visibility: This role is built for someone who wants to grow. You’ll gain exposure to high-level firm operations, legal workflows, and leadership decision-making—creating a strong foundation for advancement in executive operations, legal admin, or even chief of staff–level roles.
- Autonomy with Accountability: If you do great work, you’ll have the freedom to make the role your own. This is a high-trust, high-responsibility environment where initiative is valued and micromanagement isn’t the norm.
- Stability with a Human Touch: Join a team that values professionalism and understands life happens. The right person will earn flexibility through reliability, consistency, and showing up fully engaged.
Note: Benefits listed may vary based on final offer details and eligibility. Specific perks and coverage will be confirmed during the interview or offer process.
