EXECUTIVE ASSISTANT
Salary: $70,000 - $75,000
Location: Dallas / North Dallas (75251)
Schedule: Monday-Friday 8AM - 5PM
Remote/On-Site: 4 Days On-Site, 1 Day Remote
Provide administration support to the President with all written communications, including but not limited to the drafting and editing of personal, professional and client-related correspondence, speeches, newsletter articles, meeting notes, and investment recommendations as well as coordinate the President's calendar and travel. Primary core responsibilities:
Duties (not limited to):
- Transcribe all dictation in draft form; revise, edit and print all correspondence in final form for mailing; prepare mailing envelopes and enclosures; copy and deliver CCs/BCCs
- Check correspondence for action items. Input items into spreadsheet.
- Maintain Drafts spreadsheet to show current status of all letters.
- Help with preparation and mailing of performance reports for 2x clients.
- Assist with drafting of speeches.
- Maintain Outlook database and various mailing lists through CRM .
- Update bio and resume yearly or as needed.
- Assemble and maintain information/marketing kits for prospects.
- Order, prepare, and mail Christmas cards.
- Assist with scheduling car maintenance.
- Maintain business card file.
- Record webinars as requested for listening or request audio replay and download.
- Erase dictation tapes on a monthly basis and replace as needed.
- Update client Matrix every Friday.
- Schedule non client appointments The President’s Calendar.
- Add items to the calendar as instructed by the President.
- Register the President for the events he plans to attend.
- Confirm the President's appointments the day before they are to take place.
- Schedule doctor’s appointments and hair cuts.
- Send contact the President’s calendar every Friday The President Travels.
- Coordinate the President’s travel arrangements
- Reserve hotel accommodations, flights and ground transportation.
- Assist with meeting registration.
- Create trip checklist, including local forecast, and travel cards.
- Print agendas, ACT contacts, local club directories, calendar, directions, firm roster.
- Put together travel binder.
- Prepare maroon meeting file with meeting notes.
- Confirm client appointments the day before Communications.
- Coordinate and implement quarterly newsletter.
- Refer to the newsletter article schedule for who is due to write an article and send them an email one month in advance of when they should have their article completed and compliance approved.
- Newsletters are generally expected to be mailed mid-month following the end of a quarter (e.g. The first quarter newsletter should go out in mid-April)
- Set due date for article writers and email reminders o Send email for company highlights, updates, etc.
REQUIREMENTS:
- College degree, or High School Diploma plus 3 – 5 years work experience. A strong background in English and some college coursework in English, Communications, and Marketing preferred/helpful
- Possess an advanced knowledge of personal computers, including programs such as Outlook, Word, Excel, PowerPoint, Constant Contact, and have basic mathematical skills
- Must have excellent verbal skills, typing a minimum of 50 WPM, with strong editorial ability and a good grasp of grammar and usage, vocabulary and spelling
- Possess the ability to multi-task, meet stringent deadlines, keep a fast pace under pressure, and show good attention to detail while making minimal errors
- Ability to listen and communicate effectively and efficiently when interacting with clients on the phone and in person, and with the president, office manager, planners, and other office staff
- Possess basic understanding of the financial services industry and terminology
- Ability to utilize extensive internet knowledge for research and administrative use
- Ability to problem solve and effectively present the supporting information and reasoning behind making decisions. Ensure that appropriate people are included in decisions in order to make sound and accurate decisions in a timely manner
- Ability to work at an accelerated pace; be a contributing team member; be self-motivated while working independently
- Ability to set goals, organize and prioritize daily work tasks, while being flexible & accommodating
