We are seeking a highly organized and proactive Executive Assistant who can also take ownership of day-to-day office building operations, ensuring our workplace runs smoothly and efficiently. This hybrid role combines executive-level administrative support with sales and office operations. You’ll be the go-to person for our leadership team and a critical partner in ensuring smooth day-to-day operations, enabling our executives and sales organization to focus on building relationships and growing the business. Key Responsibilities

Executive & Sales Support

  • Manage 3 executive calendars, coordinate meetings, and book travel with precision.
  • Prepare polished PowerPoint decks, client-facing presentations, and sales meeting materials.
  • Organize and support sales meetings, manufacturing site visits, and client/vendor interactions.
  • Maintain executive financial records and support reporting for business performance.
  • Track and follow up on sales-related action items to keep initiatives moving forward.
  • Handle confidential documents and correspondence with discretion.

Office & Operational Excellence

  • Oversee daily office operations to ensure a seamless, professional, and client-ready workplace.
  • Support vendor relationships and coordinate facility management needs.
  • Maintain organization of office resources, supplies, and systems.
  • Serve as a point of contact for both internal teams and external partners.

Qualifications

  • 7+ years of experience as an executive assistant or sales support professional.
  • Strong organizational and multitasking skills with an eye for detail.
  • Excellent written and verbal communication skills; polished presentation abilities.
  • Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint).
  • Discretion and professionalism in handling sensitive information.
  • Resourceful, proactive, and solutions-driven - you are comfortable anticipating needs!

Preferred

  • Experience supporting sales teams and managing vendor relationships.
  • Background in sales administration, hospitality, or office operations.
  • Familiarity with CRM tools (NetSuite a plus).

Compensation: 80,000-95,000 DOE
