Job Location: ATLANTA GA 30328
Duration: 12 Months Contract (Potential for extension)
Pay Rate: $35.00/HR on W2
Shift: M-F 8 AM-5 PM
Description
Seeking a highly organized and proactive Executive Assistant to provide comprehensive support of a senior leader within the HR Leadership team. This role requires exceptional communication skills, meticulous attention to detail, and the ability to thrive in a fast-paced and ever-changing environment. The successful candidate will play a critical role in ensuring the smooth and efficient operation of the HR leadership team, enabling them to focus on strategic initiatives and driving business success.
Key Responsibilities
- Calendar Management: Coordinate and manage complex calendars for multiple Senior HR Leaders, including scheduling meetings, appointments, and travel arrangements.
- Communication Liaison: Serve as the primary point of contact for internal and external communications, screening and prioritizing emails, phone calls, and correspondence.
- Meeting Coordination: Prepare meeting agendas, documents, and presentations, and ensure all necessary materials are available in advance. Attend meetings, take minutes, and follow up on action items as needed.
- Travel Arrangements: Arrange domestic and international travel accommodations, including flights, hotels, transportation, and visas, while optimizing for efficiency and cost-effectiveness.
- Administrative Support: Provide general administrative support, including expense management, document preparation, filing, and record-keeping.
- Project Assistance: Assist with special projects and initiatives as assigned by Senior HR Leaders, including research, data analysis, and presentation development.
- Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including senior executives, team members, vendors, and candidates.
- Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
Qualifications
- Minimum of 3 years of experience in an executive support role, preferably supporting senior leaders in a corporate environment.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Microsoft Teams and other relevant software applications.
- Excellent organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
- Exceptional written and verbal communication skills, with a keen eye for detail.
- Proactive mindset with the ability to anticipate needs and take initiative to address them.
- Ability to maintain professionalism and composure under pressure.
- Flexibility to adapt to changing priorities and work independently with minimal supervision.
- Previous experience in Human Resources or a related field is a plus.
