Overview

A Boutique Venture Capital firm is hiring an Executive/Personal Assistant (EA/PA) to support the Founder with both personal and professional tasks. The ideal candidate is highly proactive, organized, and adept at multi-tasking. This role requires discretion, attention to detail, and the ability to anticipate needs in both professional and personal realms.

Location

Midtown East, NYC (Fully Onsite)

Salary

Up to $130K base + discretionary bonus, fully paid medical benefits (employee pays for dental and vision), 10 days of paid vacation + sick days, 2 personal days, holidays follow NYSE

Hours

8:30am – 6:00pm (Generally, no weekend work, with occasional flexibility for urgent matters)

Responsibilities

  • Manage the Founder’s complex and demanding calendar via Outlook, ensuring he is prepared for all meetings and events.
  • Coordinate domestic and international travel arrangements, primarily for business and personal needs, mostly through commercial travel.
  • Prepare and submit detailed expense reports.
  • Provide personal support (20-30% of time), including coordinating family calendars and assisting the Founder’s wife with requests as needed.
  • Handle email correspondence, filtering and prioritizing to ensure timely responses.
  • Make restaurant reservations and assist with personal errands, gifting, and shopping.
  • Source office supplies and handle procurement tasks.
  • Research and hire vendors and contractors for home projects.
  • Lighter office support as needed, ensuring smooth daily operations.

Qualifications

  • 5+ years of experience as an Executive or Personal Assistant, ideally within Venture Capital, Private Equity, Finance, or a similar fast-paced environment (open to other industries as well).
  • BA/BS degree is not required.
  • Exceptional gatekeeping skills with the ability to proactively manage schedules and anticipate needs.
  • Must have a strong backbone and be able to approach the Founder with needs or requests while maintaining respect and professionalism.
  • Ability to manage the Founder’s time effectively and ensure he is prepared for meetings and events.
  • Comfortable with a variety of communication methods (text, email, Teams, phone, etc.).
  • Strong attention to detail and follow-through on all tasks.
  • Able to balance a mix of professional and personal responsibilities, providing high-level support for both.
