The Virtual Assistant is a vital member of Zirtual. The VA is the main point of contact with clients and will work independently with the clients. The VA will receive support from their assigned Account Supervisor, who will assist the VA with client relationship management, including plan modifications, questions, and providing feedback on quality and delegation issues.
The VA will provide high-level professional administrative services by working on tasks and projects as assigned by the client, ensuring they are executed timely and to high standards. The VA must be familiar with each client’s needs and preferences, maintain proactive communication, and be available during agreed-upon business hours. Responsibilities include sending weekly reports, responding within two hours, maintaining client profiles, and following Zirtual’s best practices.
Essential Duties and Responsibilities
- Assist with project management and organization to facilitate on-time completion
- Manage personal and business calendars, including scheduling, coordinating appointments, and proactively monitoring for conflicts
- Conduct research on events, travel, projects, etc., and deliver results within established timeframes
- Handle purchases, ensuring specifications meet client satisfaction, and organize expenses
- Perform administrative tasks such as inbox management, transcription, correspondence, data entry
- Manage email inboxes, respond and organize emails per client guidelines
- Assist with social media management and marketing
- Attend virtual meetings, draft agendas, take minutes, and follow up
- Maintain continuous communication about task status, deadlines, and hours used
- Track billable hours accurately in the official time tracking system
- Other duties as assigned
Requirements

Qualifications:
- Associate’s Degree, Bachelor's Degree, or at least 7 years experience as an Executive Assistant to C-level executives
- Minimum 4 years administrative experience
- Experience with C-level executives preferred
- Proficiency with Google Suite, Google Calendar, Microsoft Office
- Experience with task management tools such as Trello or Asana
- Experience with communication tools like Slack, CRM platforms (Salesforce, Hubspot, Zoho)
- Experience with expense reporting tools (Quickbooks, Expensify), travel management (Concur), social media tools (Hootsuite, WordPress)
- Reliable internet, computer, phone, and typing speed of at least 50 WPM
- Availability during PST or EST business hours, Monday-Friday
Compensation
Paid as a 1099 independent contractor, with monthly earnings ranging from approximately $1500 to $3800 depending on client engagement.
