Overview

Senior Accounting Clerk - Accounting position located at the Main Campus. FLSA Non-Exempt. This role performs general accounting functions, supervises and reconciles finance processes, implements related policies and procedures, and coordinates the work activities of the financial services unit to ensure accuracy and reliability of financial transactions with minimal guidance.

Responsibilities

  • Reconcile and balance accounts; research, analyze, and correct financial transactions in the finance system or applicable databases; provide complex problem resolution.
  • Assist with implementation of business processes; support department staff; train, guide, prioritize assignments, and review staff work; act as a technical resource on accounting principles and regulatory requirements.
  • Compile summary reports with analysis and recommendations; produce and maintain control reports; prepare and utilize exception reports; report to external agencies as required.
  • Consult with management on policies and procedures; develop and interpret administrative policies for district-wide finance processes; create required documentation; ensure compliance with federal and state regulations.
  • Assist with year-end closing; monitor timelines; assist auditors with annual audit.
  • Use computer systems and software to input, maintain, research, and retrieve information; interpret scripts and test systems; identify anomalies and coordinate changes; recommend improvements; maintain data integrity.
  • Communicate technical and confidential financial information to college staff, student employees, vendors, and external entities; respond to inquiries and resolve issues.
  • Stay updated on regulatory policies affecting the area of responsibility.
  • Perform regular accounting tasks across contracts and grants, payroll operations, financial aid, treasury, receivables and payables, and general accounting; prepare financial schedules/reports; balance banking accounts; manage accounting codes and reconcile vendor accounts; process requisitions, refunds, and collections.
  • Prepare and enter journal entries; verify accuracy of entries and account coding; maintain accurate records per policies and procedures.
  • Review and process general accounting, accounts payable/receivable transactions including travel or bond expenses; determine amounts owed to vendors and process transactions.
  • Design and maintain department-specific financial operations; serve as subject matter expert in new processes; prepare billings and maintain payment records.
  • Enter and monitor data related to scholarships, financial aid, accounts payable/receivable, contract payments, etc.; monitor and reconcile subcontractor and staff accounting processes.
  • Develop and maintain positive working relationships; respond to requests for financial information from administrators, auditors, clerks, staff, contractors, and external entities.
  • Perform general office duties (data logging, filing, record keeping); prepare and send invoices; verify invoices.
  • Maintain security of the College's funds and financial records; promote professional handling of customer concerns.
  • Handle general administrative duties (phones, visitors, assistance to employees, and student inquiries via web, email, phone, and in person).
  • Handle sensitive and confidential information; maintain regular attendance and punctuality; comply with college standards and guidelines.
  • Promote positive morale and teamwork; provide exceptional customer service to students, faculty, and community.
  • Demonstrate interpersonal skills and judgment in coordinating duties across coworkers, supervision, faculty, staff, students, and customers.
  • Complete required training and professional development; support the College’s values and strategic plan; participate in planning unit evaluations and outcomes monitoring as applicable.
  • Work hours may include evenings, holidays, or weekends as deadlines or events require; operate in a high-tech, all-digital environment; perform other duties as assigned.

Required Knowledge And Skills

  • Ability to accurately account for monies and receipts using established accounting procedures.
  • Exceptional aptitude in accounting procedures; proven clerical ability including complex filing, accurate keyboarding, knowledge of accounting systems, and 10-key calculator by touch.
  • Ability to learn, apply, and communicate policies, procedures, and regulations relevant to assigned account functions; perform basic mathematical computations quickly and accurately.
  • Working knowledge of spreadsheets, word processing, and other business software applications.
  • Ability to grasp concepts quickly; strong attention to detail and ability to multi-task with minimal supervision.
  • Strong judgment, decisiveness, interpersonal skills to work effectively with all levels of the organization.
  • Ability to work under pressure with multiple interruptions and meet deadlines; cooperative team player in a diverse environment.
  • Ability to thrive in a fast-paced, customer-service oriented, collaborative team environment; excellent customer service and interpersonal skills.
  • Excellent oral and written communication skills; ability to handle sensitive and confidential data; problem-solving skills with the ability to lead and manage various details across the organization.
  • Proficient in email, word processing, spreadsheet, database, presentation software, and Internet use for data access, record maintenance, reporting, and communication.

Required Education And Experience

  • High school diploma or equivalent; two (2) years of accounting or office experience.
  • Experience using the finance module of Colleague or similar student-oriented ERP/accounting system.

Preferred Education And Experience

  • Associate’s degree or 60 college hours from an accredited institution.
  • Experience using the finance module of Colleague or similar system.
  • Four (4) years of experience and 30 hours of college credit from an accredited institution.
