The Position:

The Accounting Supervisor is responsible for ensuring the integrity, accuracy, and efficiency of key financial processes through effective oversight of reconciliations, accounts receivable (AR), accounts payable (AP), and payroll operations. This role provides critical support to the organization by maintaining strong internal controls, promoting compliance with accounting standards, and leading a high-performing team to meet financial reporting and operational goals.

Reconciliation & Internal Controls

1.Perform detailed internal account reconciliations to ensure accuracy, completeness, and compliance with accounting standards.

2.Investigate and resolve discrepancies in general ledger and subledger accounts.

3.Review journal entries, reconciliations, and financial reports for accuracy.

4.Maintain and improve internal controls over financial reporting and transactional processes.

5.Prepare monthly, quarterly, and annual reconciliation reports for management review.

6.Collaborate with auditors and internal stakeholders to support financial audits and reviews.

7.Ensure compliance with generally accepted accounting principles (GAAP) and internal accounting policies.

Accounts Receivable, Payable, & Payroll Supervision

8.Supervise the end-to-end AR process, including invoicing, collections, and cash application.

9.Monitor aging reports and implement strategies to reduce outstanding balances.

10.Review and approve customer credit terms and payment arrangements.

11.Ensure timely and accurate posting of customer payments and resolve discrepancies.

12.Oversee the accounts payable AP cycle, ensuring accurate processing of vendor invoices and timely payments.

13.Verify appropriate approvals and supporting documentation for all payables.

14.Manage vendor relationships and resolve disputes or payment issues.

15.Ensure compliance with company policies and applicable tax regulations for all disbursements.

16.Manage payroll processing to ensure timely, accurate compensation and compliance with labor laws.

17.Coordinate with payroll providers to resolve discrepancies and maintain data integrity.

18.Provide day-to-day guidance and support to accounting staff in AR, AP, and payroll functions.

19.Train and mentor team members to promote professional development and cross-functional knowledge.

20.Monitor team performance and provide feedback to improve efficiency and accuracy.

21.Assist with workload planning, delegation, and problem resolution within the accounting team.

22.Work closely with other departments and assist with audits or other finance operations functions as needed.

23.All other duties as assigned.

• Strong understanding of accounting principles and practices.
• Proficiency in QuickBooks and Microsoft Excel.
• High School Diploma or General Education Degree (GED) required.
• Bachelor's degree in accounting, finance, or a related field preferred.
• Four (4) or more years of experience in Accounting or a related field required.
• Two (2) or more years of experience in a supervisory role required.
• Experience leading AP/AR teams and conducting ledger reviews preferred.
• Managing multiple tasks and meeting deadlines.
• Accurately verifying and processing invoices and payments.
• Communicating effectively with vendors, colleagues, and supervisors.
• Identifying and resolving discrepancies and issues related to invoices and payments.
