Job Purpose and Function: The Accounting Coordinator plays a critical role in supporting the daily financial operations of Cara Veterinary, with a primary focus on accounts payable, expense management, and compliance. This position ensures accurate and timely processing of vendor invoices, payments, and corporate card expenses, while also maintaining compliance with business license renewals, property tax filings, and related regulatory requirements. The Accounting Coordinator collaborates closely with the finance team and other departments to maintain organized financial records and support companywide financial compliance.
Essential Responsibilities and Tasks:
Accounts Payable & Expense Management (70%):
Process and accurately code all vendor invoices, including PO and non-PO invoices, credit memos, and reclassifications. Maintain vendor account records, ensure timely payment processing, and resolve any discrepancies. Prepare weekly payment runs via Bill.com and ACH, ensuring completeness and accuracy. Serve as a point of contact for vendors and internal inquiries related to payments and expenses. Code and reconcile corporate credit card transactions, ensuring proper documentation and timely entry to the General Ledger. Support ongoing AP reconciliation processes and help maintain up-to-date cash flow forecasts. Assist with document gathering and reporting requests during audits and financial reviews.
Compliance & Regulatory Support (30%):
Ensure timely and accurate completion of business license renewals, reseller permits, and related regulatory filings across multiple jurisdictions. Track and process real and personal property tax filings and payments. Maintain compliance tracking systems and documentation to ensure organizational readiness for audits and inspections. Assist with tax filings such as Sales and Business & Occupation (B&O) taxes, ensuring deadlines are met and payments are properly coded and supported. Support the preparation of required compliance documentation for internal and external stakeholders.

Experience, Education and/or Training:
- Minimum 2 years of experience in payable accounts, expense management, or compliance-related roles.
- Proficiency in financial/accounting software such as QuickBooks, NetSuite, or similar platforms.
- Knowledge of generally accepted accounting principles (GAAP).
- Experience with multi-jurisdictional compliance such as business license renewals and property tax filings.
- Intermediate to advanced proficiency in Microsoft Excel.
- Associate or bachelor’s degree in accounting, Finance, or a related field preferred, but not required.

Pay: $30.00 – $35.00 per hour
