Litigation Legal Secretary
We are seeking an experienced Litigation Legal Secretary for a full-time, direct hire opportunity with a well-established labor and employment law firm. This is a hybrid position based out of Midtown, offering the flexibility of a hybrid schedule.

Key Responsibilities:

  • Prepare and format legal documents such as briefs, pleadings, correspondence, and various court filings.
  • Manage electronic and manual filing of legal documents with state and federal courts (familiarity with e-filing systems is a strong plus).
  • Carefully proofread all outgoing documents to ensure accuracy and completeness.
  • Maintain and organize client records and case files.
  • Manage attorneys' calendars using Outlook and legal docketing software (such as CompuLaw), ensuring critical dates and appointments are tracked.
  • Coordinate travel itineraries and accommodations for attorneys.
  • Enter, review, and update timekeeping records, ensuring correct use of litigation billing codes where applicable.
  • Prepare and submit expense reports and mileage reimbursements for attorneys.
  • Provide courteous and professional telephone support for attorneys; assist with front desk coverage as needed.
  • Verify and process vendor invoices, submit accurate check requests, and ensure timely billing submissions to clients or internal accounting.
  • Collaborate in the preparation and review of client invoices and pre-bills.
Qualifications:
  • High school diploma required; a college degree is a plus but not mandatory.
  • Must have a minimum of five years of legal secretarial experience, specifically within litigation practices.
  • Experience with legal research and filing tools such as Lexis Nexis, PACER, ECF systems, CompuLaw, and Concur is preferred.
  • Solid understanding of legal terminology, litigation processes, and document preparation - including the ability to compile tables of contents and authorities.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), along with experience using document management systems, time entry applications, e-filing platforms, and legal databases.
