Position Overview

We are seeking a highly skilled Litigation Legal Secretary to provide comprehensive administrative and secretarial support to attorneys. This role involves managing litigation matters from initiation through resolution, including drafting complex legal documents, handling e-filings in state and federal courts, maintaining case calendars, and preparing materials for hearings, trials, and mediations. The ideal candidate will bring advanced organizational skills, meticulous attention to detail, and strong knowledge of litigation procedures, court rules, and legal terminology.

Key Responsibilities

  • Draft, revise, and format legal documents, correspondence, memoranda, and emails.
  • Execute e-filings with state and federal courts and administrative agencies.
  • Assemble documents and exhibits for filings, hearings, arbitrations, mediations, depositions, and trials.
  • Proofread materials for accuracy, grammar, and compliance with firm standards.
  • Create and update Tables of Contents (TOC) and Tables of Authorities (TOA).
  • Schedule and coordinate attorney meetings, appointments, and critical deadlines.
  • Maintain and monitor attorney calendars, ensuring timely docketing of all important dates.
  • Prepare and process new client/matter intakes.
  • Support attorneys with travel arrangements and logistics.
  • Sort and distribute incoming mail and emails appropriately.
  • Assist in preparing marketing materials, pitch folders, attorney bios, and presentations.
  • Provide backup and overflow coverage as needed.
  • Maintain strict confidentiality of firm, client, and personnel information.

Qualifications

  • High School Diploma or equivalent required.
  • Minimum 5 years of litigation secretary experience.
  • Strong writing, editing, and proofreading skills.
  • Proficiency in Microsoft Office Suite; familiarity with iManage preferred.
  • Strong organizational and time-management skills for handling multiple priorities.
  • Excellent communication skills (verbal, written, and telephone).
  • Ability to operate office equipment, transcription devices, and advanced copier functions.
  • Reliable, punctual, and capable of working overtime when necessary.

Physical Requirements

  • Prolonged sitting with occasional standing and walking.
  • Clear verbal communication in-person and by phone.
  • Occasional bending, climbing, or kneeling.
  • Fine motor skills for typing and equipment operation.
  • Ability to lift up to 10 lbs.

Location: San Diego, CA

Salary: $85,000.00-$120,000.00 per year
