Overview

Our client, a global law firm, is seeking a Legal Secretary to join their team in Los Angeles, CA.

Base pay range

$100,000.00/yr - $130,000.00/yr

Responsibilities

  • Accurately complete document processing and correspondence within timekeeper deadlines.
  • Organize, maintain, and update all documents and pleadings in iManage and shared drives.
  • Maintain attorney/paralegal calendars, schedule meetings, and track court-related deadlines.
  • Communicate with the docket department regarding litigation deadlines.
  • Redline documents using Litera and draft pleadings and discovery documents, including master captions, shell notices, declarations, proposed orders, and proofs of service.
  • Coordinate court filings, document service, and compliance with state, federal, and local rules.
  • Manage vendor coordination for service of process, courtesy copies, and chambers copies.
  • Handle attorney admissions for multiple courts.
  • Arrange court reporters and videographers for depositions and hearings; assist with deposition exhibit preparation.
  • Draft, coordinate, and serve subpoenas.
  • Proofread legal documents and conduct basic legal research.
  • Prepare documents for DocuSign.
  • Professionally manage incoming and outgoing telephone calls.
  • Maintain positive client relationships on behalf of attorneys.
  • Enter time daily using Intapp and assist other timekeepers as needed.
  • Prepare New Business Forms, conflict sheets, and engagement/waiver letters.
  • Process invoices, expense reports, check requests, and reimbursements per accounting guidelines.
  • Schedule conference rooms for client meetings and depositions.
  • Handle copying and distribution of documents as required.
  • Make travel arrangements following firm policy.
  • Review, distribute, and process prebills.
  • Assist with internal procedures and compile materials for audit letter responses.
  • Perform other duties as assigned.

Required Skills & Experience

  • Proficiency in iManage and other firm applications (post-orientation).
  • Knowledge of court rules, procedures, and legal terminology.
  • Previous litigation secretarial experience.
