Legal Secretary - Litigation
Cooley is seeking a Legal Secretary to join the Litigation team.
Position summary:
The Litigation secretary will provide complex and specialized secretarial and administrative support to attorneys and other timekeepers. Responsibilities include, but are not limited to:
Position responsibilities:
- Complete document processing and correspondence accurately and within deadlines
- Manage and maintain all documents and pleadings in iManage and shared drives
- Maintain attorney/paralegal calendars, schedule meetings, and track court deadlines
- Communicate with docket department regarding litigation deadlines
- Redline documents using Litera
- Draft pleadings and discovery documents, including creating captions, notices, declarations, proposed orders, and proofs of service
- Arrange court filings, electronic filing, and document service
- Coordinate with vendors for Service of Process, courtesy copies, and chambers copies
- Handle Attorney Admissions for various courts
- Coordinate depositions, court reporters, and videographers
- Assist with deposition exhibits and subpoena services
- Proofread and conduct basic legal research
- Assist with DocuSign documents
- Manage incoming and outgoing calls professionally
- Maintain good client relationships
- Record time in Intapp daily
- Assist with new business forms, conflict sheets, engagement, and waiver letters
- Process invoices, expense reports, and reimbursements
- Arrange conference rooms and handle document copying
- Make travel arrangements following firm policies
- Review and distribute prebills
- Prepare materials for audit responses
- Perform other duties as assigned
Skills and experience:
Required:
- Proficiency in iManage and firm applications after orientation
- Availability for overtime
- Proficiency in Microsoft Office
- Understanding of court rules, procedures, and legal terminology
- Previous litigation secretarial experience
Preferred:
- College degree or business college certificate

Cooley offers competitive compensation and benefits, and is committed to fair employment practices.
This position offers an hourly pay range of $33.00 - $48.00, based on experience and location, for a 40-hour workweek, equating to $68,640 - $99,840 annually.
