South Dakota State University’s Department of Mathematics and Statistics is seeking a dependable and detail-oriented Senior Secretary to provide administrative support for the department head, faculty, staff, and students. This position helps keep daily operations running smoothly by assisting with scheduling, record keeping, communications, and event coordination. The ideal candidate will be organized, approachable, and able to manage a variety of tasks in a busy academic environment.

We are also deeply engaged in outreach and community-building through programs like the Math Help Center, Jacks LeaP Math Success Program, Data Science Symposiums, and summer data science camps. Faculty and students collaborate on impactful research in areas such as computational biology, financial analytics, operations research, and bioinformatics.

This position is located in Brookings, South Dakota.

Job Responsibilities

  • Provide administrative support to the department head, faculty, staff, and students.
  • Assist with scheduling, record keeping, purchasing, and processing invoices.
  • Support recruitment, student visits, academic scheduling, and position searches.
  • Help coordinate department events, meetings, and travel arrangements.
  • Maintain departmental records, website, and digital communications.
  • Serve as the primary administrative contact for the department.

Knowledge, Skills & Abilities

Knowledge of:

  • General office practices and procedures.
  • Basic budgeting, accounting, and purchasing processes.
  • Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Business English, including grammar, spelling, and punctuation.
  • Modern office equipment and software applications.

Skill & Ability to:

  • Follow program guidelines and office procedures accurately.
  • Gather and organize information and prepare simple reports.
  • Keep records and files updated and accurate.
  • Plan and prioritize work to meet deadlines.
  • Communicate clearly and professionally in person, by phone, and in writing.
  • Work effectively with faculty, staff, students, and visitors.
  • Pay close attention to detail and complete tasks with accuracy.
