Job Summary

The Medical Secretary II performs all secretarial functions, including answering phones, taking messages, scheduling appointments, maintaining files, editing and proofreading materials, and distributing correspondence. The Medical Secretary II monitors patient check-in and check-out and performs other duties as assigned.

Maintains patient rights and confidentiality. Collaborates with patients, families, and ancillary departments to provide continuous, well-coordinated care. Maintains charts, files, and identification numbers; verifies and documents required patient information.

Patient Support: Responsible for patient check-in and discharge, scheduling.

Primary Care Office Registration: Facilitates efficient and professional registration through demographic and financial information collection. Enters information accurately in Medical Records and Patient Billing systems; ensures completion and accuracy of forms and documents; schedules follow-up visits; prints daily clinic schedules; prepares new patient information packets; answers phones and triages calls/questions. Collects physician practice authorizations and enters information in registration/billing systems. Instructs patients to obtain referrals as needed and assists with follow-up with referring physician offices. Explains policies related to registration, co-payments, referrals, pre-authorizations, deductibles, and physician billing for various services.

Qualifications

Education

  • High School Diploma or GED (Required)
  • Associate's Degree (Preferred)

Certification / Licensure / Registration

  • Not Applicable – No Certification and Licensure Requirements required or preferred

Experience And Skills

  • 0 - 1 year related experience (Required)

Required Skills: Strong verbal and written communications, general clerical skills, basic computer skills, multi-line telephone operation, excellent organizational skills, and strong customer service skills.
