Position Overview
The Division of Behavioral Health and Recovery is seeking to hire an Executive Secretary I for the Treatment and Detention Facility located in Rushville, Illinois to serve as the secretary for the Quality Manager. Creates and keyboards a variety of documents, forms and correspondence dealing with medical, psychological and legal terminology. Designs complex, confidential and sensitive documents and reports related to all areas and functions of the unit. Reviews and prioritizes all correspondence for the supervisor. Utilizes a personal computer and various software packages to establish and revise formats.

Essential Functions
- Serves as secretary for the Quality Manager, gathers information and data from a variety of sources and uses the information to create and keyboard a variety of documents, forms and correspondence dealing with medical, psychological and legal terminology.
- Utilizes a personal computer and various software packages to establish and revise formats for a variety of complex, shared documents, reports, statistical charts, etc., related to policies and procedures, the implementation of the policies and procedures and the quantitative effect on the quality of care given to residents.
- Receives, opens, sorts and distributes mail for Quality Assurance staff; reviews and prioritizes all correspondence for the supervisor.
- Establishes and coordinates the Quality Manager's schedule.
- Receives, screens and announces visitors for the Quality Services Department.
- Maintains records concerning Training and Staff Development.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
- Requires knowledge, skill and mental development equivalent to completion of two (2) years of secretarial or business college and one (1) year of secretarial experience OR completion of high school and three (3) years of secretarial experience.
- Requires the ability to keyboard accurately at 55 wpm.
Preferred Qualifications
- Three (3) years of experience gathering data to conduct special projects and studies for a public or private organization.
- Three (3) years of experience working with and designing complex, confidential and sensitive documents and reports for a public or private organization.
- Three (3) years of experience establishing and coordinating schedules, meetings and conference rooms for a public or private organization.
- Three (3) years of experience maintaining records, reports and files.
- Three (3) years of experience working with personal computers.
- Two (2) years of experience communicating effectively both orally and in writing.
- Requires the ability to utilize office equipment, including personal computers.
- Requires ability to pass the IDHS background check.
- Requires ability to pass a drug screen for drugs prohibited from recreational use under Illinois Law.
