Administrative Secretary/Coordination Officer

This role involves providing clerical, secretarial, and administrative support to the Nursing management team.

ESSENTIAL FUNCTIONS:

  • Support multiple executive leadership members.
  • Coordinate conferences, travel arrangements, and prepare expense reports.
  • Manage calendars, schedule meetings, conferences, and appointments.
  • Order, organize, and maintain office supplies.
  • Complete tasks assigned by senior leaders and divisional nursing leadership.
  • Type correspondence as needed.
  • Attend department meetings and record/distribute minutes.
  • Answer and screen calls, refer as appropriate, and take messages.
  • Create and revise departmental memos, reports, policies, and documents.
  • Manage departmental calendar and appointments.
  • Organize and maintain administrative files.
  • Follow up on assigned projects.
  • Perform other related tasks as needed.

REQUIREMENTS:

  • High School Diploma or Equivalency required; Bachelor's degree preferred.
  • Minimum of 5 years of secretarial/administrative experience; hospital experience preferred.
  • Strong research skills preferred.
  • Experience with auditing paperwork for accuracy.
  • Proficiency in office skills, medical terminology, typing, and filing.
  • Detail-oriented with the ability to multitask and work independently.
  • Excellent communication, organizational, and computer skills.
  • Customer service and interpersonal skills; adaptable in a fast-paced environment.
  • Ability to work efficiently to meet deadlines.
  • Maintain confidentiality; creative and innovative.
  • Proficient in Microsoft Word, Excel, Access, and PowerPoint.
