Key Responsibilities

  • Manage attorney calendars, schedule meetings, and coordinate travel logistics
  • Filter and prioritize high-volume communications with professionalism and accuracy
  • Manage firm email accounts: flag urgent messages and help triage high-priority items
  • Prepare and organize legal documents, reports, and correspondence
  • Assist with expense reporting, invoicing, and billing coordination
  • Maintain and update client and firm databases and records
  • Draft, edit, and proofread legal and internal documents with precision
  • Attend key meetings to take notes, manage follow-ups, and track deliverables
  • Handle sensitive client matters with discretion and maintain strict confidentiality
  • Create systems to track key priorities, deadlines, and action items
  • Anticipate administrative and operational needs to support attorneys effectively
  • Operate with a mindset of service, responsiveness, and problem-solving

Requirements

  • 1–2 years of administrative or legal assistant experience, preferably in a law firm
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Familiarity with legal practice management software (Clio experience is a plus)
  • Excellent organizational, multitasking, and time-management skills
  • Strong written and verbal communication skills
  • High attention to detail and ability to work independently under pressure
  • Ability to maintain confidentiality and handle sensitive information professionally
