Key Responsibilities
- Manage attorney calendars, schedule meetings, and coordinate travel logistics
- Filter and prioritize high-volume communications with professionalism and accuracy
- Manage firm email accounts: flag urgent messages and help triage high-priority items
- Prepare and organize legal documents, reports, and correspondence
- Assist with expense reporting, invoicing, and billing coordination
- Maintain and update client and firm databases and records
- Draft, edit, and proofread legal and internal documents with precision
- Attend key meetings to take notes, manage follow-ups, and track deliverables
- Handle sensitive client matters with discretion and maintain strict confidentiality
- Create systems to track key priorities, deadlines, and action items
- Anticipate administrative and operational needs to support attorneys effectively
- Operate with a mindset of service, responsiveness, and problem-solving
Requirements
- 1–2 years of administrative or legal assistant experience, preferably in a law firm
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Familiarity with legal practice management software (Clio experience is a plus)
- Excellent organizational, multitasking, and time-management skills
- Strong written and verbal communication skills
- High attention to detail and ability to work independently under pressure
- Ability to maintain confidentiality and handle sensitive information professionally
