TITLE: SECRETARY/ATTENDANCE CLERK/PARENT LIAISON

EMPLOYMENT TERMS: Eleven (11) Months

SALARY CLASSIFICATION: Classified Salary

GENERAL STATEMENT OF RESPONSIBILITIES: To demonstrate a caring and understanding relationship with parents and students; to have a positive working relationship with principal and staff; to maintain a high level of confidentiality; to assure the smooth and efficient operation of a school office.

PRINCIPAL DUTIES:
Administrative Interaction
  1. Serves as a liaison for school and community relations;
  2. Completes and distributes reports as required
  3. Generates prompt and efficient correspondence via email, phone, or written;
  4. Keeps individual and school calendars, as required;
  5. Provides daily attendance reports as required
  6. Prepares forty-day, hundred-day and end of the year enrollment and ADM reports
  7. Maintains attendance system; verifies absences; issues student admits
  8. Completes and submits district wide attendance and enrollment forms and reports 9. Keeps current as to attendance requirements
  9. Processes mail;
  10. Maintains schedules for scholastic and extra-curricular use of school facilities;
  11. Serves as Key Operator for office equipment; ensures proper use, reports maintenance needs;
  12. Purchases and maintains supplies inventory, requisitions, school accounts;
  13. Prepares and/or distributes: tardy and excuse slips; morning newsletters, withdrawal forms, absence reports and plans, tardy letters, and progress reports;
  14. Prepares and distributes morning newsletter;
  15. Disseminate information about school activities, programs and other pertinent information to the community on a regular basis through chapter meetings.
  16. Arrange and schedule home visits with the teacher and the Parent Involvement Coordinator, when needed or requested and the ability to work collaboratively with others or in teams
  17. Keep and compile records of in-service, chapter meetings and other pertinent information for end of the year summary report of the program and maintain integrity of confidential information relating to students, staff, or district patrons
  18. Prepare a monthly report of activities and records of parents served to be kept on file in the Parent Education Center Office
  19. Participate in monthly meetings with the Parent Involvement Coordinator to plan activities.
  20. Update the chapter house(s) bulletin board of all school activities by the month.
  21. Responsible for confidential records.
  22. Ensure access to school district services for homeless children.
  23. Facilitate enrollment, free and reduced meals, and student placement in schools or programs;
  24. Be an advocate for homeless students and assess what services are necessary to keep them in school (e.g., transportation, school supplies, clothing, etc.), communicating this information to the appropriate school and district personnel.
  25. Develop and implement strategies to identify and enroll homeless children not currently attending school.
  26. Link families with preschoolers to Head Start and Early Intervention.
  27. Ensure that students, parents and guardians are informed of educational rights and opportunities, including immediate enrollment and transportation to school of origin
  28. Perform outreach by posting educational rights in all schools in the district, and inform of rights under McKinney-Vento Act.
  29. Coordinate with school personnel, local social service programs and shelter staff to ensure homeless families access to relevant services.
  30. Develop and implement presentations for school personnel, students and social service providers on homeless issues and the Homeless Education program
  31. Keep current on relevant issues pertaining to children and homelessness.
  32. Strictly adhere to all safety policies and procedures at all times and respond/correct any at-risk safety issues immediately.
  33. Strictly adhere to agency code of ethics and standards of workplace behavior.
  34. Makes radio contact with Maintenance or Transportation Supervisors, or Police for assistance, if required
  35. Assists students with minor first aid needs and calls home if needed.
  36. Works with District Health Specialist to ensure health records are up to date and health needs are met.
  37. Performs other related duties as assigned.
Staff Interaction
  1. Assists with staff/student travel arrangements, as required;
  2. Maintains employee absence forms, related records, and reports;
  3. Maintains substitute records, completes necessary forms and reports;


CERTIFICATION: Arizona Fingerprint Clearance Card

SKILLS REQUIRED: Tying at 65 wpm, computer spreadsheet and word processing; operation of office equipment; both written and verbal communication skill; fluent in the Navajo Language (preferred).

KNOWLEDGE REQUIRED: Basic office procedures

QUALIFICATIONS:

EDUCATION: Post high school coursework or training appropriate to the position

EXPERIENCE: One to three years of experience

SUPERVSION: Must use own initiative and judgment

RESPONSIBILITY: Responsible for confidential records.

LICENSE: Drivers License

PHYSICAL REQUIREMENTS: Must be able to operate office equipment and computer
