Position Summary:
The job of Substitute Secretary/Receptionist is done for the purpose/s of providing temporary and as needed support to the educational process with specific responsibilities for providing secretarial services at assigned site; performing essential administrative and secretarial tasks to ensure the smooth operation of an office, as well as a friendly environment for students, staff and patrons.
- This Substitute Secretary reports to Building Principal.
- This is an “as needed” position and not eligible for benefits.
- The Substitute Secretary Pay Rate for this position is: $13.75 per hour.
- Greet and assist students, parents, staff, and visitors; answer phones and direct calls; disseminate information.
- Operate standard office equipment, sort and distribute mail, and maintain confidentiality of information.
- Compose and transcribe correspondence, manage messages, and communicate with internal and external parties.
- Input data into computer systems, manage files, and maintain accurate records.
- Assist with coordination of daily workloads, scheduling, and other duties as assigned by supervisors to support the office or department.
- Strong people skills for interacting with diverse populations and clear written communication.
- Ability to use computers, office, software, and various digital tools for data entry and document preparation.
- Ability to manage tasks, prioritize workloads, and maintain efficient office flow.
- Accuracy in data entry, record keeping, and document processing. Maintain an elevated level of discretion when managing sensitive information.
- Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
Skills, Knowledge, and Abilities
Skills are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating equipment used in industrial maintenance including electrical cleaning equipment, common tools, etc.; adhering to safety practices; and usage of cell phone.
Knowledge is required to perform basic math, including calculations using fractions, percents, and/or ratios; read and follow instructions; and understand multi-step written and oral instructions. Specific knowledge-based competencies required to satisfactorily perform the functions of the job include methods of industrial cleaning; and safety practices and procedures.
Ability is required to schedule activities; collate data; and consider a number of factors when using equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing specific, defined processes; and operate equipment using standardized methods. Ability is also required to work with a wide diversity of individuals; work with specific, job-related data; and utilize a variety of job-related equipment. Some problem solving may be required to identify issues and select action plans. Problem solving with data requires following prescribed guidelines; and problem solving with equipment is limited to moderate. Specific ability-based competencies required to satisfactorily perform the functions of the job include: adapting to changing work priorities; communicating with diverse groups; meeting deadlines and schedules; working as part of a team; and working with constant interruptions.

Work Environment:
The usual and customary methods of performing the job's functions require the following physical demands: significant lifting, carrying, pushing, and/or pulling, some climbing and balancing, frequent stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally, the job requires 70% sitting, 10% walking, and 20% standing. The job is performed under temperature extremes and under conditions with some exposure to risk of injury and/or illness.
The noise level in the work environment is usually moderate to loud.
