The Medical Staff Secretary works closely with and provides administrative support to a diverse clinical team including physicians, physician assistants, nurse practitioners, registered nurses, and clinical trials coordinators. The role reports to the Practice Manager and requires an experienced, polished, and well-spoken professional to perform various administrative tasks accurately and timely. The role emphasizes outstanding customer service to patients, referral physicians, business partners, and vendors, supporting the objectives of the NJ Neuroscience Institute and JFK Medical Center.
Responsibilities
- Schedule patient appointments; fax/mail medical reports to referring physicians; obtain pre-certification for procedures/testing; track and distribute faxes; scan documents into EMR; research and resolve patient inquiries; handle correspondence via email and phone; utilize EMR to send alerts/flags.
- Maintain physician Outlook calendar; coordinate departmental meetings, prepare agendas, transcribe/distribute minutes; schedule interviews; maintain referral physician report turnaround document; prepare and distribute monthly on-call calendars; complete patient forms and letters with clinical team support; manage incoming mail and distribute reports and documents as needed.
- Process payment requisitions, travel authorizations, time-off requests, licensing documentation, expense reports, and meeting/conference documentation for supported team members.
- Perform other duties and projects as assigned.
- Adhere to organizational competencies and standards of behavior.
Qualifications
- High School Diploma required; Bachelor’s Degree preferred.
- Minimum of 3-5 years’ experience in healthcare, preferably as a medical secretary or administrative assistant, or supporting executive personnel.
- Proficient in MS Office (Word, Excel, PowerPoint); knowledge of PCN, Clinstar, and GE Centricity EMR software is helpful.
