Overview

The Riverside County District Attorney's Office - Division of Victim Services seeks to fill a District Attorney Secretary vacancy in Riverside. The incumbent will be the assigned secretary to the Assistant Director and Regional Managers, and will perform secretarial and complex clerical tasks of an administrative/legal nature. This position will interface with executive management, executive assistants from the Board of Supervisors, vendors and stakeholders, and will be expected to foster and maintain professional relationships, in addition to exercising a high degree of confidentiality, initiative, and resourcefulness.

Responsibilities

  • Prepare memorandums; take meeting minutes; coordinate meetings and travel arrangements.
  • Provide administrative support for grants processing; project management for special projects/programs; prioritize a workload.
  • Onboard new hires and offboard exiting employees; perform high-level task management; basic accounting tasks.
  • Create outreach materials, PowerPoint presentations, flyers, and graphic documents.
  • Perform other duties as required.
  • Type correspondence, reports, memoranda, legal case records, and documents; process orders and statistical data from rough drafts or general instructions.
  • Schedule appointments and relieve the supervisor of administrative detail; take and type minutes of meetings; assist in carrying out administrative policies and procedures.
  • Coordinate time, place and participant arrangements for meetings using Outlook.
  • Create and process purchase orders; track reconciliations for expenses, vouchers, and purchase cards.
  • Assemble information from various sources, format properly, proofread materials, and maintain office files, records, and indexes.
  • Provide general information to office and telephone callers; maintain control files to monitor status and expedite staff assignments.
  • Sort, screen, prioritize, and route incoming mail; maintain office supply inventories and order supplies.
  • Assist with event planning; design flyers; assist with newsletters using Canva and PowerPoint.
  • Assist with onboarding of new employees, including scheduling interviews and assembling panel binders; assist with offboarding including resetting equipment and processing exit paperwork.
  • Assist with updating an organizational chart on a monthly basis; provide vacation and temporary relief as required.

Qualifications

  • Experience in direct support to executive-level staff; strong communication and organizational skills; ability to manage multiple tasks simultaneously.
  • Candidates with knowledge of criminal justice organizations and proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook, Microsoft Forms) and Canva are highly desired.
  • License: Possession of a valid California Driver's License is required.
  • Typing Skill: Sufficient to complete 50 net words per minute; a typing test may be required.
  • Knowledge: Typing layouts and formats; operation of common and automated office equipment; filing systems; business English; record keeping; basic office procedures; arithmetic.
  • Ability: Operate standard office equipment; proofread and review work; input and retrieve data; prioritize calls and mail; monitor deadlines.

About the Division of Victim Services

The Division of Victim Services (DVS) is a division within the Riverside County District Attorney's Office. DVS serves as a Victim/Witness Assistance Center pursuant to California Penal Code 13835 and is recognized by the Riverside County Board of Supervisors as the county’s primary provider of comprehensive services to victims and witnesses of crime. DVS empowers victims, ensures victims’ rights are respected, and assists them in navigating the criminal justice system with compassion and support. DVS operates programs that provide ongoing support to victims of crime, including the California Victim Compensation Board Claims Unit, K9 Facility Dog program, Mass Casualty Crisis Response Team, Crime Prevention Unit services, and the community engagement program S.T.O.R.I.E.S.

The District Attorney of Riverside County pursues justice on behalf of the People. The office has over 700 staff, including prosecuting attorneys, sworn investigators, victim-witness advocates, paralegals, investigative technicians, forensic analysts, and a wide range of IT and supporting staff. The office aims to maintain a diverse workforce to match a diverse county.

  • Option I: One year as either a Secretary I or Legal Support Assistant II with Riverside County.
  • Option II: Three years of increasingly responsible clerical experience, one year in a secretarial capacity performing complex legal clerical duties; substitution options apply as described in the original posting.
