Temporary - Secretary and SMS Coordinator

The Influence1 Foundation, a 501(c)3 non-profit organization, was organized exclusively for purposes to include educational management, community engagement and economic development. Initiated as a philanthropic measure of its founder, Influence1 has grown to serve the local community in multiple capacities with varying programs geared for community and youth enrichment.

City University Schools is a network of open-enrollment college preparatory schools established under Tennessee charter school laws in under-resourced communities throughout the state.

Since its founding in 2004, City University Schools strives to meet the need of public education as well as the demand for alternative institutions committed to post-secondary preparation.

Each school operates on the principles of providing a valuable, well-rounded academic experience through the support of a diverse and dedicated group of qualified educators and administrative staff, an extended school year and rigorous college preparatory curriculum.

Mission

City University Schools will prepare its students with the necessary skills to be twenty-first century scholars and citizens. As college preparatory schools operating as Centers of Excellence for Student Development, City University Schools will provide academically rigorous and socially enriching educational opportunities for its scholars. Upon graduation, these scholars will be better prepared to enter secondary education and college as intellectually sophisticated citizens with vigor for learning.

Position Goal

To provide support for the school’s administration and staff temporarily to ensure the school operates efficiently and effectively on a daily basis.

Responsibilities

  • Manages all school records.
  • Liaises between City University School Boys Preparatory and City University School Girls Preparatory and The Influence1 Foundation and all departments of Shelby County Schools.
  • Oversees the operation of the Student Information System (SIS) and Student Management System (SMS).
  • Produces documents such as reports, report cards, lists, transcripts, certificates and I.D. cards.
  • Maintains and updates school documentation, to include, but not limited to, transcripts, report cards, etc.
  • Uses equipment such as a personal computer, fax machine, photocopier, and other standard office equipment.
  • Attends various training sessions arranged by departments at SCS.
  • Maintains schools’ and supervisors’ agenda/calendar to include appointments and conferences.
  • Reminds supervisors of appointments and organizes schedule according to priorities.
  • Completes and files forms related to the general administration of the unit.
  • Obtains, compiles and provides factual information by consulting relevant documentation and contacting appropriate internal and external resource persons.
  • Professionally greets all visitors, and responds to general and scholar inquiries regarding policies, procedures and practices.
  • Answers questions or provides referral to appropriate resource person.
  • Receives, screens, directs and makes telephone calls, as well as, takes and relays messages.
  • Arranges meetings and contacts participants regarding time, place and general purpose of the meeting.
  • Attends meetings, takes and distributes minutes.
  • Carries out routine administrative tasks such as ordering and taking inventory for the school and ordering office supplies and returning merchandise.
  • Contacts resource persons concerning facilities management and follows up on scheduled work.
  • Collects, accounts, and safeguards funds, as well as, ensure receipt and deposit of said funds by The Influence1 Foundation.
  • Maintains photocopiers, distributes photocopy codes, and allocates charges, as well as, arranges for printing services, and repair or servicing of office equipment.
  • Performs various administrative and clerical tasks according to the needs of the school.
  • Perform other related duties as assigned or directed in order to support the overall success of all schools on one campus.

Qualifications

The selected individual must have a high school diploma we prefer a Bachelor's degree (experience in clerical support, etc.). A minimum of three years of recent relatable experience. Be appropriately trained and able to handle situations that occur with stakeholders, to include staff, parents and scholars. Must be able to work with a diverse constituent base and have the ability to work with teachers and peers with an understanding of discretion and confidentiality.

The selected candidate must have demonstrative experiences in working well with others and be able to communicate at all levels while maintaining professionalism. Such a demonstration may be considered quantitatively and qualitatively through the interview process and the submission of qualifying documents of support to include recent references.

Terms of Employment

This is a temporary position that is expected to report 12-months, year-round position reporting to work station daily, no later than 8:00 a.m. and leaving no earlier than 4:30 p.m. Anytime differing will be reflected in a salary and benefits.

Health and dental insurance for full-time employees – a portion of the cost of these programs will covered by the employer; Retirement – any staff participation requirements of the state retirement system will be followed.
